Secretary II- Pediatric Neonatology

Within the UI Stead Family Department of Pediatrics, provide administrative support for the Division of Neonatology. Under general supervision, performs secretarial work for physicians, such as composing routine correspondence and maintaining records.
Duties to include:
• Serves as personal secretary to nine Neonatology faculty physicians, which includes creating and editing documents and spreadsheets, keeping calendars.
• Provides secretarial support for Neonatology fellows.
• Provides clerical support for clinical research staff as needed.
• Answers and triages incoming calls for Neonatology Division.
• Composes correspondence in response to routine inquiries within established guidelines.
• Arrange Neonatology consultations for obstetrics patients.
• Monitors and orders division supplies.
• Arranges for repair services and maintains supplies for photocopier.
• Serves as contact person for scheduling and upkeep of QGenda.
• Compiles and distributes monthly division calendars.
• Compiles and distributes monthly Journal Club articles.
• Demonstrates respect for all members of the University community while performing one's duties and in response to administrators, supervisors, coworkers, and customers; constructively brings forward workplace concerns to coworkers and/ or supervisor.

Minimum Qualification Requirements
- Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to two years of full-time employment and includes the use of word processing.
- Knowledge of University of Iowa Health Care policies, processes and forms.
- Knowledge of proper format, grammar, spelling, punctuation, and capitalization.
- Skill in utilizing Microsoft Excel, EPIC, QGenda, and MedHub.
- Skill in operating office equipment, including a computer, copier, etc.
- Knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name and functional area.
- Ability to communicate effectively with staff, students, and the public.
- Ability to follow oral and written instructions and apply institutional policies accurately.
- Ability to collect data, keep records, and prepare reports.
- Ability to organize and prioritize multiple tasks.
