As an Office Services Coordinator, you'll play a vital role in creating a welcoming and inclusive environment while delivering exceptional customer service to our clients and visitors. You'll also take the lead in managing reception duties and coordinating meetings and events seamlessly. Pay - Rate: $28.00/hr

Shift: 8:00am - 5:00pm; Monday - Thursday; 32 hours per week

Key Responsibilities:

Office Administration and Coordination:

  • Handle administrative tasks, including vendor communication and expense reports.
  • Maintain and update the Site Operations Manual/Playbook.
  • Coordinate travel arrangements and assist with other projects from Regional Leadership.

Ambassadorial:

  • Welcome and assist visitors, residents, and community members with professionalism and warmth.
  • Provide comprehensive information about office amenities and services, demonstrating genuine care for associates' well-being.

Reception and Front Desk Operations:

  • Maintain an organized and professional front desk area.
  • Manage incoming calls and mail efficiently to ensure seamless communication.

Meeting Coordination:

  • Schedule and coordinate meetings, ensuring optimal participant availability and necessary resources.
  • Handle meeting logistics, including venue arrangements and preparation of materials.

Technical Support:

  • Provide technical support for virtual meetings, ensuring smooth operation of technology.
  • Stay updated on video conferencing advancements to enhance meeting experiences.

Event Coordination:

  • Collaborate with the event planning team to organize community events and social gatherings.
  • Manage event logistics and provide onsite support during events.

Training:

  • Participate in training programs to enhance skills in meeting coordination, utilizing platforms like Cornerstone.

Position Requirements:

  • High school diploma or equivalent; college degree preferred.
  • 2-3 years of relevant experience.
  • Proficiency in Microsoft Office suite.
  • Strong communication and organizational skills.
