Summary:


Goldbelt Professional Services, LLC is seeking a Executive Assistant to work within the National Center for Immunization and Respiratory Diseases (NCIRD), Centers for Disease Control and Prevention (CDC).

This position will support a wide range of administrative tasks for the NCIRD business service needs. This work will be performed at Centers for Disease Control and Prevention (CDC) Roybal Campus in Atlanta, GA. The CDC is the nation's premier health promotion, prevention, and preparedness agency.

The Executive Assistant will report to Goldbelt Professional Services leadership to ensure the execution of timely, high-quality deliverables for the client.


Responsibilities:

Essential Job Functions**:

- _ Meeting Support_

  • Control potentially complex calendar/diary activity, including coordination of appointments for executives as well as extensive rescheduling.
  • Partner with the senior staff admin support to identify other vital attendees and ensure Leadership is available for important meetings (reschedule if needed).
  • Arrange and coordinate all of the Director's meeting/conference logistics including room reservations, scheduling, advance preparation of the meeting rooms (e.g., dial into the conference line, have the screens prepared and ready, print agenda if needed, etc.).
  • Liaise with the meeting and events planning team when applicable. Handle routine and non
- routine logistics (e.g. contact meeting participants, provide local, on-site support as appropriate).

  • Arrange conference calls, video conferences or data conferences, occasionally involving a global audience.
  • Prepare and submit oral or written reports, assessments, briefings, and reconciliations as required by management policies, procedures, and regulations for review, tracking or internal workflow analyses, process improvement, or other assessments.
- _ Operations Support_

  • Complete assigned nonroutine tasks to meet goals under team lead.
  • Work closely with the Director's Special Assistant (SA) who is the main liaison between the Director and other officials for all highlevel engagements and briefing materials. Coordinate daily with the SA.
  • Prepare the daily packet of materials for the Director for each day's schedule and complete travel books when needed. Work with the SA to ensure all necessary documents are included.
  • Prepare a range of routine and nonroutine correspondence according to company guidelines for signature by executive (i.e. travel & leave requests, monthly awards, etc.),
  • Anticipate any administrative trainings or tasks required of the Director and work with her to keep them in compliance (e.g., mandatory trainings, Ethics paperwork, etc.). Coordinate with the SA who can help guide training recommendations.
  • Coordinate with other Administrative and Executive Assistant's to ensure the Director is apprised of the availability of other NCIRD Senior Staff including managing the center leadership Travel, TDY and Leave Calendar.
  • Serve as point of contact for leadership and facilitate responses to inquiries concerning general policies and procedures related to program operations and support services.

Qualifications:

Necessary Skills and Knowledge:

  • Experience liaising across teams with varying expertise and skill sets.
  • Demonstrates excellent written and verbal communication in interpersonal exchanges.
  • Strong command of Microsoft Office Applications (i.e., Word, PowerPoint, Excel, and Outlook).
  • Ability to demonstrate diplomacy and work professionally and collegially with a highly educated, scientific customer base that is under pressure and in the public eye every day.
  • Demonstrated ability to work well independently, be solutionoriented, motivated, and committed to customer and company success.
  • Ability to handle a variety of constituencies, manage multiple tasks simultaneously and thrive in a complex environment while balancing multiple competing priorities.
  • Excellent judgment and decision making, with strong analytical skills; business intuition and business acumen.
  • Able to collaborate with internal CDC partners.

Minimum Qualifications:

  • High School Diploma or GED.
  • 710 years of increasingly responsible administrative experience to include 13 years of executive administration support.
  • Strong written and verbal communication skills.
  • Experience working with executives or senior staff.
  • Strong organizational skills.
  • Ability to obtain and maintain CDC Clearance.

Preferred Qualifications:

  • Bachelor's degree preferred.
  • Prior experience working with the CDC is highly desired to understand the culture and environment.
