Operations Specialist is responsible for managing the day-to-day operations of the community, achieving and maintaining maximum occupancy of the community, achieving high resident satisfaction and quality resident care/services, ensuring compliance with applicable state and federal requirements, ensuring smooth operation of the community, and generating the projected profit for the company on an interim basis.


This position will of be asked to accept assignments for clients on a
short-term or interim basis of challenged communities.

These communities maybe facing staffing or licensing challenges that will require a unique skill set for both business and human resource acumen.

Communication with the community and Fast Nurse Staff leadership on challenges within the assignment is critical for the success of the community and client relations.


Job Qualifications:

  • Must have appropriate professional license and license must be in good standing (i.e. Skilled Care, RCF, ALF, BH).
  • Must be able to relate to the elderly in a positive manner.
  • Must possess good marketing and public relations skills.
  • A minimum of three (3) years prior experience in a management position operating retirement, assisted living or skilled nursing community, or related business.
  • High School diploma, higher education, and accompanied by specific training and/or certification in management activities.
  • Must possess a current state specific driver's license and appropriate driving record.
  • Must be fidelity bondable.

Duties and Responsibilities:

  • Operate the community in a manner, which will ensure client's company profitability by meeting all community budget and census guidelines as set by the corporation. This includes adhering Follow and adhere to the budget in all situations.
  • Monitor staffing hours and overtime daily to detect problems early. Avoid utilizing temporary staffing without approval of supervisor in advance. Use company budget forms to monitor expenses.
  • Ensure the delivery of quality care and services and ensure positive resident relations responding promptly and appropriately to resident needs, requests, concerns, etc. Promote a culture where each resident is of the greatest importance.
  • Direct and monitor all marketing activities including public relations efforts, prospective resident generation, prospective resident followup, direct sales, and sales monitoring to ensure the complete fill up of the community. Strive to achieve a 100% occupied community. Direct and monitor the automated lead tracking system.
  • Direct, and participate in, a community relations function for the community with particular attention to clergy, medical, legal, financial and business communities who would have influence with the senior market. Oversee the development of referral sources for prospective residents.
  • Propose for approval contracted services, including the beauty shop, therapy services and other ancillary services as may be required and to direct and evaluate the performance of all service contractors in providing needed services.
  • Promote and maintain positive relations with residents and their families, providing the necessary Interim Executive Director/resident contact, including but not limited to, service plans (if applicable) and dining room interaction while addressing resident concerns appropriately. Encourage resident interaction.
  • Provide resident programs designed to achieve resident satisfaction by providing enrichment in the areas of social interaction, entertainment, arts and crafts, physical exercise, education, religious services, and community involvement.
  • Comply with all state and federal laws and regulations and all company rules and regulations regarding the care of the residents and operation of the community. Develop a positive rapport with all state regulatory representatives.
  • Develop and maintain systems that will effectively monitor the operation of the community, including, but not limited to occupancy rate, income and expense, supply/capital asset inventories, and resident and staff satisfaction (i.e. suggestion boxes, surveys, etc.).
  • Oversee the maintenance of accurate and appropriate records for each resident and prospective resident of the community, for each employee and other administrative activities, and maintain confidentiality of said files at all times.
  • Oversee the healthcare related programs and services (i.e. medications, bathing, staff development, charting) and ensure that all applicable state mandated rules and regulations are carefully adhered to.
  • Ensure that the community participates in quarterly care conferences to be informed and demonstrate commitment.
  • Conduct daily department leader meetings to focus on resident condition, admissions, discharges, resident/family concerns, life safety issues, employee injuries, and resident accident/incidents.
