OVERVIEW

At BlueHalo, the Office Manager will have the first interaction with customers, partners, and team members so a genuine interest in creating a welcoming environment is very important. This role provides a consistent, daily presence at the front desk of the BlueHalo main office at 420 National Business Parkway. In addition to the primary responsibilities listed below, the Office Manager also assists in the development and coordination of BlueHalo corporate events and meetings, and employee communications as necessary.

WHAT YOU WILL DO

The Office Manager role typically includes the following:
  • Approximately 60% Office Manager duties, including but not limited to:
    • Maintaining all conference room bookings, catering needs, and technical needs to ensure meetings run smoothly
    • Manage and capture notes for meetings as required
    • Maintaining and ordering office and kitchen supplies
    • Coordinating office equipment maintenance and schedules, facilities cleaning, and facilities maintenance activities with vendors
    • Ensuring all reception areas, conference rooms, and open space areas are tidy and professional
    • Perform data entry and prepare letters, contracts, presentation materials and other documents as requested
    • Distribution of communications to employees as required
    • Review of incoming and outgoing mail and distribution to appropriate parties as necessary
    • Assists with office space planning
    • Other duties as assigned
  • Approximately 20% working special projects and planning corporate events including but not limited to:
    • Working in conjunction with other departments, assist in creation of employee events, employee engagement/recognition, and employee morale activities as necessary
    • Support culture goals
    • Support SCIF Operations are required
    • Manage the distribution of employee mailings as necessary
    • Coordinate registration and attendance for off-site trainings and events
    • Other duties as assigned
  • Approximately 20% receptionist activities including but not limited to:
    • Welcome, sign in visitors to our facilities
    • Ensure temporary badging when necessary
    • Direct team members, partners, and customers to the appropriate BlueHalo contact
    • Other duties as assigned
WHAT QUALIFICATIONS YOU WILL BRING
  • At least 4 years experience in this role or in a role with similar duties and responsibilities
  • Strong verbal and written communication skills
  • Excellent interpersonal, customer service, and communication skills are a must
  • Strong attention to detail and a true desire to create quality work products
  • Excellent organizational skills
  • Strong time management skills with a proven ability to meet deadlines
  • Ability to effectively work independently or in teams
  • Use/understanding of Microsoft Office application (Word, Excel, PowerPoint and Outlook).
  • Ability to maintain regular on-site work schedule of Monday-Friday, 8:30am-4:30pm daily.
    • Core Hours from 9am to 3pm
