The Finance Team Assistant works with the Bookkeeper and assists with bookkeeping, HR, and clerical work. They are responsible for invoicing customers, collecting payments, and filing. They complete tasks such as data entry, communicating with account holders, and updating physical and digital records. This person embodies SMH core values of:

Job Duties:

Create invoices, get approval from account holder, send to customer with all necessary documents (may sometimes involve uploading to customer's invoicing platform)

Track and fulfill customer invoicing requirements (ie. required pictures, forms, signatures)

Verify source of materials on invoices prior to exporting (ie. stock or purchased with PO)

Verify sales tax on invoices prior to sending – if no sales tax on invoice, confirm we have current sales tax exemption on file

Send monthly statements and communicate with customers to ascertain payment status

Process payments, deposit checks daily, follow up with customers on payment discrepancies as necessary

Update customer address and contact information in Service Titan as required

Timely and accurate filing of job records

AP entry to accounting software

Answer incoming calls and assist in dispatch as needed

Update price book costing and sales price

Check PO box daily and sort mail to appropriate person

Annual preparation and filing of business licenses

Skills Required:

Good written and verbal communication

Organization and problem solving

Proficiency in QuickBooks Online and Microsoft 365 (with emphasis on Excel)

Ability to understand basic financial data and procedures

Perform job responsibilities accurately and efficiently

A valid driver's license with good driving record

Hours are Monday-Friday from 8-5 flexible within an hour of start and end time. This position does not allow for remote work.
