Overview:

High-impact, high-volume departments require dedicated support to effectively comply with effective document control identified work practices. CTG recognizes certain departments require additional support to complete information control, analysis, and reporting.


The Departmental Document Control Analyst (Info Spec 2) ensures content access is controlled, current, and available within the context of use to those who require it.

The role must understand the business activities (context of use) performed by the department to which they are assigned and align IM practices to flow within that daily work.

Information managed will include Engineering documents, drawings and facilitating the management of equipment or departmental activities.

This can include engineering and repair documentation, or general departmental practices, ensuring information is attributed accurately and loaded into the applicable location in the Refinery Electronic Document Management System (EDMS), Bentley-ALIM.

Duties:

Work closely with Departmental leaders, engineers, SME's and/or their delegates to control Departmental documentation.

Ability to accurately audit, update, and retrieve documents from site EDMS-Bentley-ALIM system.


Responsible to follow Information Management Services practices, procedures, and guides, including but not limited to attributing, numbering, and naming conventions for site information.

Provide advanced Microsoft skills to assist Bentley-ALIM users manages their information.

Provide advanced Office 365 expertise to assist site users regarding transfer of their information to Share Point.


Assists with the handling of records and documentation, including the preparation of internal and/or external distribution, on/off site archiving, indexing, cross referencing, and destruction of information.

Use of high-volume scanners to convert paper documents (of all sizes and scales) into an electronic format for loading.

Able to identify differences between document types and accurately assign appropriate retention codes based on types.


Ability to learn and retain knowledge of Information Management standards and practices to provide detailed training (one-on-one and/or group) regarding document types, attributing, records retention, and EDMS usage.

Provide excellent internal and external customer service through written communication, via TEAMS or in person.

Where required, attend, or facilitate meetings, including scheduling in Microsoft Outlook and TEAMS environment.

Required Skills / Competencies

Capable of viewing, creating, editing, and printing electronic file formats including DOC, XLS, PPT, DWG, DGN, PDF, JPG and TIF

Strong Knowledge of Company standard software applications including MS Office Suite, EDMS Bentley-ALIM system, Visio, scanning software, Nitro and Share Point

Correctly scanning individual documents through either Canon or OCE scanners for accurate reproduction and clarity

Reliable performance and attendance

Creative thinker with the ability to look for ways to do things better, faster, and more efficiently

Flexible in handling assignments and schedules

Ability to understand project requirements and communicate openly and clearly with all members of the team

Follows Company Policies, Procedures and Regulatory Requirements without Deviation

Speak out and do the right thing for CTG and our client

Education:

Associate's degree

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
