Role Summary
The Fulfillment Coordinator serves as the primary contact for inbound requests and inquiries within the Service Department. Their responsibilities include ensuring timely communication with relevant teams to meet fill-rate targets, scheduling freight deliveries, maintaining accurate fulfillment billing records, and supporting colleagues with backend system upkeep.
Minimum Qualifications
- Familiarity with parcel and freight carrier systems
- Proficiency in general office, computer, and phone skills
- Experience in general project management
Work Location
This position is based in Grants Pass, OR.
Key Focus Areas
Coordinating daily Parts and Equipment order requests:
- Effective and timely communication with Field and HQ teams
- Managing the procurement of specialized orders
- Supervision of back-orders to ensure complete fulfillment
- Assisting with warehouse operations when needed
Equipment coordination for stand openings and remodels:
- Creating sales orders based on schedules and item requirements
- Liaising with construction and installation teams
- Reviewing orders for potential stock issues and incomplete details
- Coordinating with Procurement and Service teams to ensure equipment readiness for timely shipments
- Reporting any delays or back-orders to all parties involved
- Notifying the Fulfillment team of upcoming shipments
- Calculating transit times and delivery specifics to schedule shipping dates with freight services
- Maintaining equipment service records and relevant reports
Administration of systems and process documentation:
- Overseeing website, shipping systems, and ERP maintenance
- Managing the Quarterly Parts Program
- Updating equipment listings and billing/shipping information for stands
- Coordinating with Procurement to ensure inventory readiness for shipment
- Ensuring quality assurance, reporting, and customer service
- Supporting and organizing communication and workflows with the Accounting team
