Woodmont is seeking a Floating Property Manager who will be responsible for management aspects of the community including financial performance, staff management, maintenance, property appearance, marketing, and resident relations. The Floating Property manager is passionate about customer service and excels at providing our residents with exceptional experience living at our properties. As a Floating Property Manager, you get the unique experience of working with teams of all sizes and properties with unit counts from 100 to over 400 units. It's an exciting role where you will be wearing a lot of hats, strategizing and motivating your team.

If you like a flexible, changing work schedule, this position is for you. You will be guaranteed a 40-hour work week. Travel is required throughout the Greater Bay Area as assigned by the Vice President of Education at Woodmont.

Your role is a constant blend of:

Financial Management

  • Accountable for the financial and management aspect of the property.
  • Prepare or assist with preparation of property budget, monitor and explain monthly budget variances.
  • Consistent monitoring of property income and expenses. Achieve the highest possible rental rates, occupancy and collections while being prudent with operating expenses, all while effectively maintaining the property.
  • Timely and accurately code and submit for payment all invoices to the Regional Property Manager and/or Accounts Payable Specialist.
  • Complete invoices and expense reports bi-weekly and submit to HR to coincide with due date for Time Sheets.
  • Manage vendor and resident move out coordination. Process vendor invoices. Process moveout deposit refunds (FAS) through RealPage or other approved property management program.
  • Monitor and maintain adequate office supplies/equipment following WRES procedures as outlined in the Multifamily Operation Manual.
  • Prepare and serve delinquent notices, 3-day notices, and file unlawful detainer actions in coordination with Credit/Legal Department.
  • Accurately prepare or verify accuracy of all forms associated with lease application and move-in files, leasing reports, traffic and phone logs. Enter all pertinent data into RealPage or other approved property management software.
  • Ensure all new residents are enrolled in or signed up for any property required programs (utility billing, renters' insurance, etc.).

Leadership

  • Manage the property staff including staff development, ensuring proper training of all employees, conducting and monitoring performance by timely completion of performance evaluations, goal setting, employee relations including corrective actions if necessary, scheduling and approving work hours, in accordance with wage and hour laws.
  • Responsible for the day-to-day operations of the property. Develop and implement approved strategic plans for the property.
  • Organize and prioritize a variety of projects and multiple tasks in an effective and timely manner. Organize your own work, set priorities and meet critical time sensitive deadlines.
  • Responsible for physical property and landscape inspections to ensure highest quality is maintained consistent with established specification.
  • Oversee the process and timely completion of resident and capital improvements.
  • Participate and ensure staff participation in training seminars and educational opportunities.

Customer Service

  • Develop and maintain good working relationships with residents, staff, management, and ownership. Ensure resident satisfaction.
  • Responsible for creating, and ensuring staff creates a sense of urgency when making appointments for prospective residents to visit the community. Requires proper completion of telephone and on-site guest cards, follow-up with all prospects.
  • Maintain minimum "shop score" of 80%.
  • Greet, qualify, tour and close the rental to prospective residents with a positive, enthusiastic approach as outlined in the Multifamily Operations Manual and ensure staff does the same.
  • Address resident concerns, maintenance requests, work with vendors and staff with a friendly positive approach and in a timely manner.

Administration

  • Process and handle lease renewals in accordance with approved policies.
  • Accountable for the property, maintaining accurate and thorough resident files, ensuring all required documents are properly signed and filed properly in resident file.
  • Ensure all onsite operations follow company policy and procedures.
  • Monitor and enforce lease terms of agreements, billings and collections of rent and other charges per lease.
  • Responsible for day-to-day operations such as updating journals, monitoring on-site operation and collection programs as required by company. Perform all assignments related to collecting rent. Deposit all monies in the bank OR use the electronic check scanner.
  • Ensuring office/models, "focus" apartment homes and marketing corridor meets company standards, maintained in a clean, neat and orderly fashion always in accordance with Multifamily Operations Manual.
  • Monitor and maintain accurate leasing files, leasing reports, traffic and phone logs. Enter all pertinent data into RealPage or other approved property management software.
  • Perform marketing and community outreach tasks including, but not limited to, competitive market surveys and establishing a preferred employer program per company guidelines.
  • Ensure that all administrative reporting and filing are completed accurately and in a timely manner.
  • Conduct final apartment inspection prior to resident move-in.
  • Manage the curb appeal of the property, enter service requests into RealPage or other approved property management software and direct custodians and service personnel to always maintain the highest level of quality on the property.
  • Maintain a thorough knowledge of neighborhood, schools and community as well as competitive properties in the area.
  • Maintains apartment building rules and regulations.
  • Participation in WRES Company Emergency Response Program.
  • Maintain a valid Driver's License and legally required auto insurance as there may be times that you will be required to drive for business purposes.
  • Possess and maintain proficient computer skills including, but not limited to the approved property software platform, MS Office products such as Word, Excel and Outlook. Be familiar with social networking and posting to rental sites.
  • Maintain confidentiality of sensitive personal information of applicants, residents, employees and former employees and residents.

Minimum Qualifications:

  1. Education/Experience: Bachelor's degree preferred but not required. Minimum of two years' industry experience with proven sales, management and customer service skills. Knowledge of tenant eviction and fair housing laws and applicable federal state and local laws, codes and regulations pertaining to the multifamily industry.
  2. Language Ability: Effective verbal and written communication skills. Ability to read and comprehend reports and invoices. Ability to create, compose and edit written materials. Polished interpersonal skills.
  3. Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to establish priorities and coordinate work activities. Ability to assimilate and analyze information pertaining to market and economic conditions that may impact community goals.
  4. Computer Skills: Must have excellent computer skills including strong knowledge of Microsoft Outlook, Word, Excel and the internet. Experience with RealPage or other property management software required. Should be able to create V-Flyer ads to post on Craigslist and adhere to the policy of posting a minimum of 3 ads per day (depending on availability).
  5. Mathematical Skills: Ability to calculate figures and amounts such as add, subtract, multiply and divide, calculate discounts, interest, bonuses, proportions, percentages. Ability to apply concepts such as fractions, percentages, and proportions to practical situations. Ability to assess financial performance and accurately forecast future financial performance. Firmly understand components of Total Operating Revenue, Variable Operating Expenses and Net Operating Income.
  6. Certifications, Licenses: ARM designation through IREM or CCRM designation through CAA preferred. Driver's license required

Salary Range: $34.00 – $37.00 per hour Depending On Experience

The company considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary bonus (eligibility may vary based on role), vacation and sick time off, and a benefits package.
