Responsibilities
  • Provides analysis on fleet related operational and regulatory data utilizing both internal and third party source information (FMCSA portal, telematics, in-cab camera)
  • Maintain and ensure compliance of Driver Qualification (DQ) Files in accordance with Federal Motor Carrier Safety Administration (FMCSA) regulation
  • Assists with DataQ’s inquiries and submissions                
  • Conduct and process Background Checks, communicating to hiring managers compliance with hiring standards
  • Serves as fleet department technology coordinator working with telematics, and electronic toll devices, etc.
  • Assists with the development of fleet related presentations and forecasts
  • Maintains safe practices at all times, including accident reporting and follow-up
  • Assist with yearly vehicle renewals
  • Expedites International Registration Plan (IRP) Licensing, renewals, replacement credentials, and special permitting
  • Researches and communicates changes in state laws and requirements
  • Maintains and ensures data integrity of driver hours, vehicle information, including fuel and mileage data
  • Participates in special projects as assigned
  • Knowledge and understanding of DOT Federal Motor Carrier Safety Regulations
  • Serves as the Company DER (Designated Employer Representative) assisting in setting policy to comply with FMCSA and DOT regulations and guidelines
  • Performs inquires to the Clearinghouse for CDL holders

Minimum Qualifications
  • Must have the ability to communication effectively with all levels of employees, customers and vendors
  • Must have organization skills, detail oriented and ability to handle multiple priorities to meet required deadlines
  • The ability to work in a fast paced environment with a high level of attention to detail is required
  • Ability to work independently in a team environment
  • Proficient with Microsoft Office Word, Excel, PowerPoint
  • Must have strong written, verbal communication, and analytical skills
  • Preferred Qualifications
  • Associate’s or Bachelor’s degree or equivalent work experience

  • Reporting
  • The Fleet Operations Administrator reports directly to the Director of Fleet Operations

  • Employee Status: Non-Exempt

Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to:

  • the individual’s skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
