JOB SUMMARY

The Coordinator Surgical Business Services is responsible for the equipment and surgical supplies acquisition and inventory, entry, and monitoring charges for patient charges for all items used in surgical services and pass to Pt billing. Charges must be consistent with Medicare guidelines and have appropriate codes assigned. This position is responsible for statistical functions of surgical services, implants, tissues inventory and record management, charge entry and verification for services/ functions of Surgical Services. The Coordinator is also responsible for inventory management, distribution, receiving of supplies and equipment. Instrumentation purchasing and processing including planning, evaluating, and supervising Anesthesia Technicians and budgeting for the department are essential duties. Also, able to maintain supply flow for surgery and endoscopy for all surgical services departments assigned, maintain accurate data entry and reporting for computer systems, and acts as resource for staff regarding computer programs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Assists in project management, development and management for surgical services related to supplies/equipment / par levels and charges/ expense budgets for campus entities- Surgery/ ENDO/ PACU/Sterile Processing/ Freestanding ENDO center

· Maintains adequate inventory levels of all surgical services supplies. Researched, receives all orders, checks for accuracy, and reports variances to the warehouse.

· Maintains and adjusts par levels and supply chain flow with attention to cost and contractual obligations

· Maintains and is able to troubleshoot all equipment. Orders equipment for special procedures in a timely manner to ensure availability for caseload

· Performs accurate and timely data entry. Verifies and processes daily OR department charges and forwards to respective departments.

· Coordinates annual inventory and reports results in a timely manner.

· Orders repair of surgical/Endo equipment and tracks status of equipment out for repair.

· Acts as liaison with vendors to obtain pricing, set up trials and procure new equipment as needed in collaboration with Business Manager /Departmental Director.

· Brings forward to VAT all new products /equipment not on contract.

· Assures restocks/ supplies are available in departments inclusive of medications (no narcotics) IV fluids and biologicals/tissues.

· Assures all appropriate processes for all tissue management are followed from ordering, receiving, to record keeping and distribution.

· Maintain staff competencies for assigned Areas. Ensures appropriate medical supplies/equipment and special needs of patients and surgeons are met

· Contracts are followed and charges for services are accurate and complete with accordance in health supplies, policies, and procedures.

· Assures all expired products, supplies, implants etc. are pulled from patient care areas.

· Assists in the preparation of the capital and supply budgets in conjunction with manager/director.

· Coaches and provides immediate feedback to staff

· Trains, orients, and meets with new hires (including planning and orientation).

· Demonstrates, promotes, and rewards exemplary leadership skills and contributions of the staff toward the achievement of organizational goals.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

· Minimum of Associates Degree and 2 years’ experience in surgical services background required OR High School/GED with 5 years materials management or surgical services background required.

· Basic knowledge and understanding of medical terminology.

· Intermediate computer knowledge: Uses Microsoft Word, Excel, Outlook, and Windows.
