Associate Registrar

The Princeton University Art Museum welcomes applications for the position of Associate Registrar to support the department with exhibition and loan activity and who thrives in a collaborative and goal-oriented environment. Reporting to the Chief Registrar, the Associate Registrar will have responsibility for outgoing international loans, as well as responsibility for three or more assigned exhibitions per calendar year—one or more of which may travel to several national and/or international venues. They will work closely with our curators, exhibition project managers, preparators, conservators, and other registrars and must be able to interact with borrowers, lenders, insurance representatives, and shipping and transport agents.

With a collecting history that extends back to 1755, the Princeton University Art Museum is one of the leading university art museums in the country, home to collections that have grown to include more than 115,000 works of art ranging from ancient to contemporary art and spanning the globe. Committed to advancing the University’s teaching and research missions, the Museum also serves as a hub for the humanities at Princeton for visitors worldwide. The Museum currently presents exhibitions in its two downtown venues (Art on Hulfish and Art@Bainbridge) and is touring collections exhibitions nationally and internationally. When the Museum opens its dramatically reconceived building, scheduled for 2025, it will initiate a new exhibitions program with annual exhibitions on-site and on tour.

ResponsibilitiesPrepare objects in PUAM collection for outgoing loan
- Create documents to use in loan process (insurance documents; borrower’s agreements; condition reports; crate requests; labels)
- Manage the outgoing loan process with partners internally and externally (curators, director, preparators, conservators, and vendors such as shipping agents, transit companies and insurance company)
- Act as courier for art shipments
Prepare incoming loans to PUAM
- Create documents to use in loan process (insurance documents; loan agreements; condition reports; budgets; crate labels)
- Manage incoming loan process with partners internally and externally (curators, director, preparators, conservators, and vendors such as shipping agents, customs brokers and transit companies)
- Liaise with lender (institutions and private individuals)
Coordinate all loans and collections objects which are part of a PUAM exhibition
- Forecast all implicated loan costs; create budget for transportation of artwork and couriers to each installation location
- Work with shipping agents and transportation agents to generate crates and shipping routes
- Coordinate all loan activity with each lender
- Organize the exhibition installation schedule; implement schedule with project managers, curators, conservators, preparators
- When appropriate, organize traveling exhibition with project manager (including routing, budgets and courier schedules)
- Prepare all registrarial documents – condition reports, loan agreements, insurance policy summaries and certificates
- Act as courier for art shipments
Essential Requirements:
- BA with a minimum of 3-5 years of verifiable experience in museum registration and administration.
- Strong computer skills: expert facility with MS Office, including Word, Access, Excel, and Outlook.
- Experience with relational databases, especially The Museum System (TMS) preferred.
- Previous experience shipping loans and/or exhibitions domestically and internationally.
- Experience acting as a courier with artwork.
- Knowledge of current best practices and standards in the field (including art handling, packing and shipping).
- Excellent organizational, interpersonal, and communication skills (both written and verbal).
- Demonstrated ability to prioritize tasks and meet competing deadlines in a fast-paced, deadline-driven environment.
- Strong orientation towards collaborative and often complex work assignments
- Ability to create and track invoices and develop and monitor a budget.
- Detail-oriented and self-motivated with excellent communication and problem-solving skills.
- Confidence in managing budgets
Preferred Requirements
- MA in Art History, Museum Studies or related field preferred.
- Experience with digital photography and Photoshop preferred.
- Experience with the relational database, The Museum System (TMS) is preferred.
