General Summary of Position:

The Manning School of Business at the University of Massachusetts Lowell seeks a highly organized and detailed oriented Event, Outreach, and Community Engagement Manager to join our team. This position is responsible for planning, coordinating, and executing a wide range of high-profile events of strategic importance to the school, including the Dean’s Speaker Series, Welcome Day, Days of Giving, Industry Days, and other signature events. This role requires exceptional project management and organizational skills, attention to detail, and the ability to multitask effectively. The Event, Outreach, and Community Engagement Manager will work with various internal and external stakeholders, including faculty and student organizations, to deliver impactful and successful events. This position requires experience working with first generation students.

1. College Level Event Planning:

  • Manage all logistical aspects of events, including room reservations, venue setup, catering, and audiovisual needs
  • Collaborate with various university departments to organize college-level events such as Distinguished Speaker Series, Industry Days, Open House, and Welcome Day
  • Manage career readiness events
  • Develop corporate connections with industry partners
  • Arrange both in-person and hybrid meetings, as well as corporate visits, to enrich student career development and preparedness
  • Manage event registration processes, including attendee tracking, and RSVP management to optimize attendance
  • Work closely with Manning student ambassadors and coordinate their participation in events
  • Arrange accommodations and other logistics for event participants when necessary
  • Ensure the event information flows to main university calendar, ensuring accuracy and timely updates to promote visibility and participation
  • Serve as the primary contact for sending targeted email reminders and facilitating communication for events
  • Conduct post-event evaluations, including feedback from attendees and partners

2. Outreach and Community Engagement:

  • Communicate with stakeholders throughout the event planning process to ensure all arrangements are in place
  • Organize and execute events to foster a strong connection among students, faculty, staff, and alumni
  • Partner with local high schools to develop and manage programs aimed at student targeting and recruitment
  • Create event programs, coordinate speakers, prepare talking points
  • Ensure effective sponsor and donor recognition as well as impactful special award presentations at events
  • Coordinate with internal and external stakeholders to ensure effective collaboration and seamless event execution
  • Establish and maintain relationships with key stakeholders and vendors
  • Respond to inquiries and provide timely assistance to event participants
  • Coordinate with speakers and presenters to ensure their requirements are met and they have the necessary support

3. Operational:

  • Develop process for record keeping
  • Develop process to vet feasibility of planning competing events
  • Work closely with the finance personnel to create and manage event budgets, ensuring resources are allocated effectively
  • Administer other department functions, such as budgeting, planning, purchasing, marketing, scheduling, and overseeing vendor payments
  • Communicate complex operational directives clearly
  • Work with Business Manager to effectively market events
  • Project Manager for events which requires developing strong working relationships with various stakeholders including faculty, staff, and student leaders

4. Assist the Dean and collaborate with other staff as needed.

Working Conditions:

  • Occasional weekend and evening event management

Minimum Qualifications (Required):

Education:

  • Bachelor’s Degree

Experience:

  • A minimum of 5-7 years in planning, organization, and execution of special events

Skills:

  • Experience in higher education a plus

**Will consider candidates with HS Diploma/GED equivalent and 10+ years of directly related experience.

Excellent communication skills, including writing, proofreading skills, and speakingAbility to manage multiple projects and work assignments from a variety of staff and volunteersExcellent interpersonal skills both in person and by phone, with high professionalismAbility to accomplish projects with little supervision, meet frequent deadlines and work well under pressureProficient using the latest versions of Microsoft Office Suite, social media platforms, competency with mail merges; email and web searches, and ability to learn new systemsAffinity with the overall mission of the University of Massachusetts LowellDemonstrated ability to take initiative in program development and evaluation
