Associate Director of Advancement Communications

SUMMARY:

The associate director serves as the strategic and operational lead for ecommunications with the University community, including emails and event invitations/registrations. The University presently uses a Blackbaud Internet Solutions (BBIS) based website, UR Online, as its primary ecommunications platform, and the associate director supports all campus BBIS/UR Online users, including the Advancement team, President's Office, Schools and Units, as well as University Communications. The associate director also administers the University's UR Online alumni directory and giving pages.

The associate director is a vital member of the division, as well as the Advancement Services team. They will report directly to the Assistant Vice President for Advancement Services and the Director of Advancement Communications will be their secondary supervisor.

RESPONSIBILITIES:

Communication and Event Strategy

In conjunction with the Director of Advancement Communications, develop and execute a comprehensive communication and event strategy that is aligned with the University's Advancement Division goals, leveraging the UR Online platform to effectively engage with stakeholders, including donors, alumni, staff, faculty, and volunteers. Responsibilities include:

  • Managing the University's email calendar for BBIS users and acting as traffic director to ensure the flow of emails to constituents, including the creation, scheduling, and distribution, as well as ensuring accuracy, timeliness, and relevance.
    • Supervising the processing of event registrations.
    • Maintaining giving pages in collaboration with the Office of Annual Giving.
  • Administering the alumni directory to ensure secure access and an optimal user experience, which includes assisting alumni in resolving any navigational challenges.

Compliance and Platform Maintenance

Ensure compliance with data protect and privacy laws, regulations, and best practices related to ecommunications, including but not limited to the CAN-SPAM Act and the EU General Data Protection Regulation. Perform regular and as needed maintenance and updates of the UR Online platform. This includes:

  • Ensuring that data protocols, procedures, and policies are up to date and meet industry best practices.
    Overseeing security groups and managing user permissions for job-related access to all accounts and privilege groups.
    Troubleshooting user and system problems and issues in a timely and accurate manner.

Training and Support

Provide training and support to university members on the effective use of the platform for communication and event purposes. This includes:

  • Acting as primary point of contact for BBIS/UR Online users
    • Developing onboarding and training materials for campus users and communicating with them regularly to address issues, share tips, and answer common questions
  • Collaborating with campus partners on the audience, branding, content, format, and reporting (analytics) of emails and event invitations sent through the platform

Data Analysis and Reporting

Analyze communication and event performance metrics and donor engagement data within system to measure effectiveness, identify trends, and inform future strategies. This may include:

  • Compiling data from various sources, such as email open rates, click-through rates, event attendance, and donation patterns.
  • Utilizing statistical analysis tools and software to detect patterns and correlations, create detailed reports, and present findings to stakeholders.
  • Providing actionable insights based on data analysis to optimize communication strategies, improve event planning, and enhance donor engagement initiatives.
  • Regularly updating and refining metrics to ensure alignment with Advancement goals and industry best practices.

QUALIFICATIONS:

  • Acute knowledge of Blackbaud Internet Solutions (BBIS) and Blackbaud CRM or Raiser's Edge NXT.
  • Expertise in designing and editing e-communication templates, forms and webpages, including use of HTML, CSS, and JavaScript.
  • Experience with relational database systems, including SQL-based queries and data transfers between systems using file-based protocols (csv, Excel, etc.).
  • Demonstrated ability to meet tight deadlines and work under pressure, independently and as part of a team.
  • Strong attention to detail, problem identification and solution skills.
  • Proven ability to maintain confidentiality and model integrity.
  • Proficiency with Outlook (Excel, Word, Power Point) and other standard software applications.

EDUCATION & EXPERIENCE:

The successful candidate will possess a BA/BS with 3 - 5 years' experience with web communications in not-for-profit development/advancement; college or university setting preferred. Experience with Blackbaud CRM (BBCRM) or Raiser's Edge NXT and Blackbaud Internet Solutions (BBIS) preferred

WORK HOURS:

  • Full-time, exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week
  • This position is eligible for hybrid schedule as agreed upon by the Assistant Vice President for Advancement Services.

SALARY STRUCTURE:

Pay Grade 7 (Hiring Range $55,640.00 to $73,736.00 annually)
