Purpose

This position provides skilled administrative support to departments at Spokane Airports and serves as the first point of contact in the Front Office.  

Major Responsibilities

General Responsibilities:

  • Greet visitors and direct them to the correct person/department. 
  • Answer/transfer calls and document/distribute messages as appropriate. 
  • Assist the public with providing information in-person, over email, and over the phone.
  • Sort, distribute, and process incoming and outgoing mail including FedEx, UPS, and certified mail. 
  • Accept and process payments. 
  • Organize and maintain conference rooms, break areas, and front office.
  • Maintain Airport directory. 
  • Maintain central filing system.
  • Perform notary services.
  • Provide administrative support to Airport Administration as needed. 
  • Perform other duties as assigned. 

Additional Responsibilities may include:
  • Make travel arrangements and coordinate conference logistics.
  • Provide support to departments with projects and special assignments. 
  • Track office supply inventory levels and place orders. 
  • Compile spreadsheets, reports, and presentations.
  • Arrange events and meetings including catering, agendas, and minutes as requested.
  • Perform other complex office support assignments. 
Qualifications

Education/Experience:

  • Associates degree required. Bachelors degree preferred. 
  • Three years of related administrative experience. 
  • Three years strong customer service and public contact experience. 
  • A combination of education and experience may be considered in meeting the requirements of this position. 
  • Notary license, must have at time of hire or obtain within 90 days of hire.
  • Valid state driver’s license, free of serious or frequent traffic violations. 

 Knowledge/Skills:
  • Deliver excellent internal and external customer service.
  • Show a high level of professional poise and personal bearing to deal with people including a clear speaking voice and skills in operating a multi-line telephone system.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines and changing priorities.
  • Handle interruptions efficiently and effectively.
  • Prioritize a variety of tasks with little supervision and use good judgment.
  • Organize information into a coherent and meaningful format.
  • Communicate effectively both verbally and in writing. Read, write, speak and understand English. 
  • Use spreadsheets, word processing, and database computer software programs at an advanced level.
  • Present in a professional manner and with excellent interpersonal skills in order to establish effective working relationships with others.
  • Be a self-starter and able to work independently and with a team. Work as a contributing, collaborative member of a team.
  • Able to quickly learn and retain concepts that may be unfamiliar.
  • Be of good moral character and able to adhere to professional ethical standards of conduct as a public employee working in the public administration and operation of airports.
 
Physical Requirements:
  • Requires the ability to lift, carry, push and pull objects up to 30 pounds.
  • Job functions require sitting for extended periods with intermittent walking and standing; also involves occasional stooping, kneeling, bending, lifting, carrying, and reaching.
  • Extensive wrist and hand movements required for frequent keyboarding and use of office equipment.
  • Ability to perform close work to file, read and use computer required.
  • Ability to continuously exchange information through listening and talking with customers, coworkers, and other individuals required.

 Security:
  • Must be able to obtain and maintain an Airport security badge as a condition of employment.
Supplemental Information

Working Contacts:

  • Regular contact with Airport staff, vendors, tenants, and the general public. Position reports to the Executive Assistant.
Working Conditions:
  • Work is primarily in an office setting with minimal exposure to weather elements.  Requires walking outside to attend to conference rooms and mail. Minimal local travel.
Equipment Operation Required:
  • Vehicle, personal computer, phones, calculators, copier, fax, binding machine, postage meter, and other office equipment.
