GENERAL SUMMARY / OVERVIEW STATEMENT:

In partnership with the Clinical Director and Nurse Manager of Cellular Therapy, the Program Manager will lead in optimizing and standardizing operations for the MGH Cellular Therapy program. The Program Manager will manage assigned projects within the broader department and implement new programs to improve operations and benefit the oncology physicians, nurse practitioners, and research.

The Program Manager is a key member of the MGH inpatient oncology service, displaying a high degree of initiative and independent judgment, collaborating closely with physicians, collaborators, and departmental leadership to continually assess and manage a wide range of projects. Such projects may include, but are not limited to data collection and analyzation, finances, schedule management, operations planning, creating bimonthly dashboard, contracts and community and team building.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

• Oversees data management processes, including collection, analysis, and reporting of clinical and operational data related to the cell therapy program, patient volumes, resource allocation, and compliance metrics.

• Work with senior leaders at MG Cancer Center to ensure and monitor compliance with regulatory requirements and accreditation standards.

• Designs and maintains Epic reports for patient volumes and clinic metrics

• Develops and maintains process improvement for patient throughput as the program continues to expand in the outpatient setting.

• Provide oversight of clinical operations related to cellular therapy, including patient eligibility assessment, coordination of care and management patient flow.

• Collaborates with multi-disciplinary teams, including physicians, nurses, laboratory staff, and administrative personnel to facilitate seamless coordination of care.

• Communicates effectively with key stakeholders, including patients, families, referring physicians, and senior leadership.

• Develops and manage components of the cellular therapy budget, in partnership with senior leaders, including monitoring revenue streams.

• Assists with credentialing and onboarding of new providers.

• Perform data analysis and convert findings into conclusive and persuasive presentations to display implementable program changes.

• Establish strong relationships with key stakeholders and other management personnel to ensure communication and outreach regarding cell therapy status and direction.

• Prepare presentations for leadership meetings as needed.

• Collaborate with Cancer Center leadership and project specialists to identify, evaluate and recommend new techniques, tools, and strategies for project management as well as operational improvements for the department.

• Serve as subject matter expert in project management to support practice leaders, project team members and department colleagues.

• Utilize processes and work systems that enable optimum performance of the project team including standardized approach and tools for project management and productivity communications

• Works collaboratively with the Clinical Director of Cellular Therapy, Nursing Director, Administrative Director, and MGH Cancer Center physicians

• Works collaboratively with the Nursing Directors and APP leadership to evaluate, develop and implement operational systems and procedures designed to maximize the workflow throughout the Cell Therapy practice

• Collaborate with Marketing Department, Quality and Safety and Department of Medicine, to develop and maintain clinical program materials, advertising, website, including search engine optimization, enhanced social media presence and oversight of the integration of interactive patient tools.

• Participates on hospital committees to engage in the hospital community at large and to increase awareness of the operations, needs and priorities that underscore the project work assigned.

  • Working with the Clinical Director and Administrative Director, leads the strategic planning of the Cell Therapy programs for the outpatient practice and works to develop initiatives that focus on improving care and efficiency
  • Manages and ensures up-to-date credentialing of a wide range of individuals.
  • With support from the Clinical Director and MG Cancer Center leadership, monitors a comprehensive financial budget for the inpatient service for both short-term and long-term planning purposes.
  • Assist MG Cancer Center leadership with management of various types of contracts related to the management and operations of the outpatient cellular therapy program.


• Owns and maintains multiple distribution lists

• Schedules conference calls and prepares meeting logistics

• Coordinates meetings and conferences including video and webex connections

• Coordinates events, including catering and room logistics

• Develops agendas and meeting minutes

• Manages Outlook calendars for Inpatient Hospitalist Team

• Facilitates travel arrangements and reimbursements

• Manages Expenses and account funds

• Assists in the development of PowerPoint presentations

• Provide cross coverage to team members as needed

• General administrative duties as assigned

  • Strong understanding of data man agement and applications for use within the practice environment including summarizing and presenting data and next steps; knowledge of process mapping and workflow mapping.


EDUCATION:

• BA/BS degree required

• Master's degree preferred

EXPERIENCE:

• 2 years relevant experience required. 5 years relevant experience strongly preferred
