The Executive Assistant Team Lead-Mars Global Services provides support and process improvement for the daily operations of the executive support department for the Mars Global Services organization--an international team of professional administrative professionals supporting the leadership teams within the organization.

The Executive Assistant Team Lead (1) provides direction and leadership in areas of time & attendance, onboarding, and process improvement, (2) mentors others to grow professionally and advance their knowledge and skills, (3) continuously assesses team needs by working collaboratively to ensure adequate resources for support needs and (4) demonstrates professionalism and holds self and team members accountable for standards of practice and demonstrates a high level of emotional intelligence and transformational leadership skills.

The Team Lead will also maintain responsibility of executive support to the President of Mars Global Services – where they are responsible for organization, coordination, and management of the Mars Global Services Leadership Team, ensuring appropriate meeting cadence, follow-up, and decision-making. A wide variety of internal and external relationships are involved in performance of the duties of this position; the incumbent interacts with Associates at all levels of the organization, plus leadership and executive support from the customers of Mars Global Services.

What are we looking for?

  • Bachelors degree preferred or equivalent/relevant work expereince
  • At least 15 years of administrative experience; no less than 5 years of experience supporting a global senior executive.
  • Excellent written and verbal communication skills. Excellent time management, prioritization, and organizational skills. Ability to work independently with little supervision.
  • Change agent: Experienced, optimistic line manager with the ability to build a team, leading and developing other professionals. Ensuring activities are coordinated across the Executive Administrator team as required, taking responsibility for individual processes, and sharing best practice.
  • Maintaining up to date knowledge of Mars Global Service procedures, processes and current initiatives and issues.
  • Technical expert: Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel). Raise requisitions, authorizing orders, managing inquiries and goods receipting invoices; monitoring of purchasing card or project spend.
  • Prior experience handling complex expense reports.

What would be your key responsibilities?

  • Manage, develop, and oversee implementation of all administrative processes and functions for Mars Global Services and support and align administrative functions with the organization. The position will supervise all administrative assistants in the organization developing a team of change agents capable of deploying administrative best practices across the organization.
  • Makes high-level contacts of a sensitive nature regarding routine & non-routine issues internally and externally requiring a high degree of discretion and diplomacy and time sensitivity. Understands the program goals and priorities of the executive, to prioritize issues according to urgency.
  • Coordinate efforts so that the executive is adequately prepared for all customer meetings and internal corporate level meetings.
  • Provides administrative support by handling information requests and performing. clerical functions such as preparing correspondence, arranging conference calls and scheduling meetings.
  • Highly effective at performing administrative duties, taking meeting actions, maintaining files, and organizing documents.
  • Closely involved in the planning and coordination of organization events, meetings, and employee team building activities or special projects.
  • Organize and arrange complex travel (domestic and international), itineraries, logistics and all related correspondence as required.
  • Manage executive schedule and act as a liaison for executive team.
