What we need  

We are seeking a proactive and detail-oriented Contracts Project Administrator to join our dynamic team. The Contracts Project Administrator will play a pivotal role in supporting contract management activities and project coordination efforts. You will contribute to the success of contracts by assisting in preparation, review, and execution, while also collaborating with teams to ensure alignment with project objectives.  

What we do 

The Contracts team is part of the Legal Department which is responsible for ensuring that Symbotic's operations are compliant with all relevant laws and regulations.  

What you’ll do Contract Management Support: 

Assist in the preparation, review, and execution of contracts, including gathering necessary documentation and ensuring compliance with company policies and legal requirements. Track contract milestones, deadlines, and deliverables to ensure adherence to contractual obligations. Maintain organized electronic and physical files for contracts and associated documents. Project Coordination: Collaborate with project teams to facilitate the implementation of contract requirements and ensure alignment with project objectives. Coordinate meetings and other project-related activities, including scheduling, agenda preparation, and follow-up actions. Serve as a liaison between internal stakeholders, external vendors, and subcontractors to facilitate communication and resolve issues. Document Management: Assist with document repositories and version control for contracts, project plans, and related documentation. Assist in the preparation and distribution of contract-related documents, including proposals, amendments, and change orders. Ensure all contract-related documents are accurately archived and accessible for reference and audit purposes. Communication and Reporting: Communicate contract-related information to project teams and stakeholders effectively, ensuring clarity and understanding. Prepare regular status reports on contract progress, budget expenditures, and key performance indicators. Support the development of presentations, reports, and other documentation for internal and external audiences. Administrative Support: Provide administrative support to the contract management team, such as managing calendars, coordinating travel arrangements, and processing expense reports. Assist in organizing and maintaining project documentation, including meeting minutes, action items, and project plans. Handle inquiries and requests related to contracts and projects in a timely and professional manner. 

What you will need 

Bachelor's degree in Business Administration, Finance, or related field preferred.Minimum 5 years of experience in contract administration, project coordination, or related role is advantageous. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams. Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint. Familiarity with project management methodologies and tools is a plus. Ability to work independently with minimal supervision and as part of a collaborative team. 

Other considerations

Up to 10% travel may be requested.Employees must have a valid driver’s license and the ability to drive and/or fly to client and other customer locations.​The employee is responsible for owning a credit card and managing expenses personally to be reimbursed bi-weekly.Hybrid schedule (minimum 2 days per week based in Wilmington, MA office)
