Job Description
Position: Client Engagement & Volunteer Coordinator Status: Full-time, Exempt
Supervisor: Vice President of Community Engagement Date: August 21, 2024
Under the direction of the Vice President of Community Engagement, the Client Engagement & Volunteer Coordinator assists in the development of programs and activities for HoG clients and their families, recruits, trains, and supervises agency volunteers, and engages the bleeding disorder community.
Hemophilia of Georgia operates an annual summer camp program for children and teens with hemophilia and other inherited bleeding disorders. Camp is typically held in summer (which may include the Fourth of July) and runs Saturday-Friday, and the date changes each year. Camp is an agency-wide, strategic priority; therefore, all exempt employees must participate. Assignments may include duties at camp, helping campers get to and from camp, and may involve overnight travel. The Director of Camp & Client Events will provide advance notice to exempt employees of where support is needed. PTO requests during the week of camp are generally not approved; however, PTO requests for extenuating circumstances will be reviewed on a case-by-case basis by the Chief Community Engagement Officer.
QUALIFICATIONS:
· Bachelor’s degree is preferred.
· Professional or volunteer experience coordinating events.
· Minimum 2 years professional experience recruiting, training and supervising volunteers
· Bilingual in English/Spanish preferred.
· Strong collaboration skills and a proven ability to work effectively in a team environment.
· Ability to work without supervision, to use independent judgment, and to make appropriate decisions.
· Demonstrated ability to organize and manage multiple priorities.
· Must have high level of interpersonal communications and presentation skills.
· Excellent leadership skills.
· Provide your own vehicle, drive, and be willing to travel as required; including flexible work hours to include evenings and weekends.
· Proficient in Microsoft Office Suite applications.
RESPONSIBILITIES:
Maintain a positive work atmosphere by acting and communicating in a manner so that you work productively, effectively, and efficiently with customers, clients, co-workers, volunteers, and management.
Essential Functions:
Client Events
· Plan and implement various client events that target geographic and specialty groups. This includes developing pertinent mailings, making facility reservations, program development, ordering supplies, and recruiting volunteers as needed.
· Attend client events, complying with policies and procedures, including maintaining confidentiality of all participants, colleagues, and volunteers.
· Coordinate with the Director of Community Education to evaluate, analyze, and report on event survey responses and provide suggestions for improvement.
· Oversee client event registration, including development of waivers and confirmation calls.
· Collect data on events and prepare reports as required.
· Coordinate archive of client event attendance, associated paperwork and volunteer documents.
Volunteer and Community Engagement
· Coordinate volunteer recruitment of all agency volunteers. Responsibilities include interviewing, checking references and submitting requests for background checks.
· Maintain volunteer records.
· Attend agency events as needed to supervise and act as primary contact for volunteers.
· Work with the Community Engagement Team to recruit, train, and retain HoG volunteers.
· Build and cultivate relationships with volunteers.
· Work with the Director of Camp and Client Events and the Community Engagement Coordinator to identify volunteer needs.
· Develop and maintain volunteer manuals and training materials.
· Work with the Community Engagement Team to plan and implement the annual volunteer recognition and appreciation event.
· Plan and implement ongoing volunteer recognition/retention.
Additional Responsibilities:
· Serve on HoG teams as assigned.
· Additional duties as assigned by the Vice President of Community Engagement or Chief Community Engagement Officer
