The Research Grants Manager is a key position in Research Department at Shepherd Center. In this position, the Grants Manager is responsible for compliance with federal regulations, financial reporting, and grant submissions. This engaging role allows the Grants Manager to take an active position in research administration. The ideal candidate has a detail oriented analytical mind, excellent people skills, ability to work independently and excels in a fast-paced deadline driven environment.
  • Maintain knowledge of and interprets granting agencies regulations, Uniform Guidance and Shepherd Center policy regarding the receipt and administration of grants and contracts.
  • Grant submissions - works closely with PIs to develop budget for project, obtain and organize letters of support, letters of collaboration, biosketches. Completes submission applications and submits applications to funding agencies via agency submission vehicle.
  • Contract management -Monitors current contracts and grants, expiration dates and communicates with funding agencies on renewals.
  • Subaward Monitoring - responsible for tracking all subawards/subcontracts, update master spreadsheet, issue amendments as needed, track all invoicing and budgets.
  • Review and monitor grant expense transactions for conformance with granting agency guidelines.
  • Set up and maintain spreadsheets for each grant or clinical trial to include financial and payroll data.
  • Prepare monthly and/or quarterly invoices as necessary and monitor to ensure payments received.
  • Monthly close - create invoices, trial balance and income statement detail reports in Workday.
  • Prepare for Shepherd fiscal year end and Single Audit.
  • Prepare interim and final financial status reports (FFR) in accordance with funding agency guidelines.
  • Act as back up to establish new awards in Workday, assign grant worktag numbers, and work with department staff to ensure proper allocation of costs to new awards, especially payroll, timekeeping, expense, and stipends.
  • Backup for CRI Administrative Assistant on Research matters.
  • Assist with other duties as assigned by Vice President Research & Innovation.
  • Practices proper safety techniques in accordance with Center and departmental policies and procedures. Responsible for the reporting of employee/patient/visitor injuries or accidents, or other safety issues to the supervisor and in the occurrence notification system.
  • Monitors and ensures compliance with all regulatory requirements, organizational standards, and policies and procedures related to area of responsibility. Identifies potential risk areas within area of responsibility and supports problem resolution process.
Required Minimum Education
  • Bachelor's Degree from a four-year college or university, preferably in finance, accounting, or research administration.
Required Minimum Certification
  • Grant Management Certification - obtain and retain Certification with necessary education credits (can be obtained post-employment).
Required Minimum Education
  • 8 plus years Grant Management experience Preaward and Post award.
Required Minimum Skills
  • Intermediate to Advanced Microsoft Office knowledge
  • Intermediate to Advanced Microsoft Excel skills
  • Demonstrated ability to gather data, analyze facts and prepare reports
  • Skilled in the use of mathematical concepts
  • Knowledge of Uniform Guidance especially CFR Part 200
  • Experience with grant submission websites (grants.gov, era commons, ebrap, etc.)
  • Working knowledge of federal Payment Management System and Grantsolutions
  • Highly organized, independent worker
  • Successful performance in a fast-paced deadline driven environment
