Highland, United States San Manuel Band of Mission Indians Full time

Under the direction of Office of the Tribal Council staff leadership, the Executive Administrator provides high-level quality support services and output to support the efficient functioning of the Office of the Tribal Council department and various Tribal initiatives. The Executive Administrator is a skilled professional and leader responsible for the overall day-to-day oversight and program management of administrative support in assigned areas such as Tribal Council, Entertainment Authority, department operations, tribal government actions, constitution implementation, or committee and subcommittee initiatives and projects.

Essential Duties & Responsibilities

1. Manages and develops correspondence and communication related to assigned area, group, committee, or sub-committee. Coordinates and schedules meetings, conferences, and events with the emphasis on maximizing attendees’ time and effectiveness. Maintains all records, files and information systems in accordance with retention or archival requirement. Delegates and provides direction to subordinate team members as needed. 

2. Prepares and distributes meeting agendas and minutes, summary notes, and other relevant administrative documentation as prescribed by tribal law. Contributions also include comprehensive meeting documentation, efficient follow-up, drafting and editing documents, and communication.      

3. Assists department leadership with administration and support of official tribal government actions, programs and events, tribal enrollment functions and coordination of Tribal citizen government. Duties may also include managing calendars, arranging travel, handling expense reports, and managing timely reports.  

4. Conducts research and gathers information to support projects and process development.  

5. Manages and prioritizes multiple projects and tasks simultaneously, ensuring deadlines are met. Collaborates with internal and external stakeholders to ensure compliance and accuracy.  

6. Performs other duties as assigned to support the efficient operation of the department. 

 Education/Experience/Qualifications 

  • Bachelor’s Degree required. 

  • Minimum of five (5) years of experience in a senior administrative, executive support, or management role overseeing operations and projects is required.  

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above. 

  • Previous board and executive experience required. 

  • Tribal government experience preferred.   

  • Strong knowledge of constitutional principles and legal terminology preferred.  

  • Experience applying meeting principles and procedures such as Robert’s Rules of Order preferred. 

  • Demonstrated experience in  processing confidential information without judgement or opinion and with the upmost discretion is required. 

  • Holds self and others to the highest standards of integrity, selflessness, sound judgment and performance.  

  • Displays exceptional communication skills across all mediums and ability to create exceptionally high-quality presentations and accompanying collateral. 

  • Exercises a high level of accountability and the ability to diplomatically give and receive constructive criticism.  

  • Demonstrates a strong attention to organization, detail and accuracy, effective time management, prioritization, and troubleshooting.   

  • Experience with anticipatory issue spotting and problem solving. 

  • Ability to plan and prioritize and resiliency to navigate changing priorities and ambiguity while remaining accessible and responsive. 

  • Strong problem-solving and decision-making skills.  

  • Ability to work independently and collaboratively in a fast-paced environment.  

  • Proficiency with Microsoft Office Suite and other relevant systems is required.  

  • Ability to learn and accurately use various platforms and technologies. 

Certificates/Licenses/Registrations
  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license. 

  • CA Notary Public commission may be required.
