Your Role As our Leave of Absence Expert, you will serve as the primary contact and manage the day-to-day administration of employee leaves related to Short-Term Disability (STD), Long-Term Disability (LTD), Family and Medical Leave Act (FMLA), Paid Family Leave (PFL), and Paid Family and Medical Leave Act (PFMLA). Reporting to the Senior Benefits Manager, you will lead the coordination with internal stakeholders across 35 states to ensure compliance with federal and state regulations and company policies. Your Responsibilities
  • As subject matter expert, provide training and guidance to branch management, as well as local HR teams, on adhering to company policies related to leaves of absence, statutory leaves, Family and Medical Leave, and Long-Term Disability
  • Lead regular committee meetings, set agendas, and facilitate discussions on complex absence cases. Collaborate with HR, legal, and compliance professionals to make informed decisions on leave approvals, accommodations and terminations
  • Maintain close collaboration with payroll, branch management, legal, and HR teams to ensure that medical leaves are managed and paid in accordance with company policies and procedures
  • Work in close partnership with the third-party administrator to ensure the delivery of exceptional service, with a focus on the swift handling of claims
  • Act as a resource to those requesting leaves of absence and work to ensure they understand company policy and practice related to their type of leave. Answer any questions regarding their leave and provide leave specific information to the employee in an empathetic and compassionate manner
  • Record all legislative updates to statutory leaves procedures and disseminate information to internal stakeholders
  • Maintain comprehensive records of all relevant details and oversee non-compliant claims, leaves of absence, cases where job protection limits are reached, or transitions to Long Term Disability, while ensuring that all modifications are accurately documented for review in the bi-monthly Absence Management Committee meetings
  • Engage in the interactive process involving the local and national HR managers when necessary by supplying the necessary documents, Individual Accommodation Plan (IAP) Guidelines, and claim details
  • Monitor the Short-Term Disability (STD) Pending and Active Report, as well as the Appeals Report, to provide updates for the Absence Management Review Committeeâs spreadsheet and compile a detailed chronology of events for the Legal department upon request
Your Skills and Experiences
  • Bachelorâs degree or equivalent combination of education and experience
  • 4-7 years of experience administering leaves of absence across multiple states in the US
  • Experience administering intermittent leaves of absence and managing a high-volume of cases
  • Effective written and verbal English communication skills
  • Strong interpersonal skills, with a keen sense of customer service
  • Ability to work independently in a fast-paced environment
  • Organizational and time management skills
  • Demonstrated problem solving, critical thinking, and follow-through skills
  • Proficiency in Spanish is a plus
