Training Events Coordinator

The main responsibility of this position will be to provide support to Fotona’s Sales Teams and Customers in advance of and at offsite Customer Training Events. This person will be responsible for various administrative and logistical steps in the planning and coordinating training sessions, from preparing materials and equipment for shipment to confirming hotel/dinner reservations and maintaining customer attendance logs and certifications. The Training Events Coordinator will plan, coordinate, and provide logistical set-up and onsite support and must be highly organized, demonstrate excellent attention to detail, and see multi-step tasks and assignments through to completion on a consistent and frequent basis. The ideal candidate for this role is thorough, flexible, has a positive can-do attitude, and is motivated to actively support and enable an environment where all of our team members and our customers can be successful.

Responsibilities:

  • Prepare, pack, ship, receive, and track boxes of various marketing, events, and training materials, as well as large displays/signage/equipment for use at training workshops and other events.
  • Organize and maintain Continuing Education registration logs, certificates, and attendance requirements.
  • Track and maintain inventory of brochures, pamphlets, flyers, banners, safety equipment, giveaways, and other training and marketing materials.
  • Submit receipts and approved business expenses for reimbursement on a weekly basis.
  • Provide clear, effective, professional verbal and written (email) communications internally with team members and externally with Fotona speakers, customers, and vendors/outside business partners.
  • Consistently demonstrate a Strong Work Ethic and represent Fotona with Integrity and Professionalism.

  • Outstanding organizational skills, able to self-manage timelines, anticipate workflow, balance priorities, and have the flexibility to adjust as needed in a busy and ever-changing environment.
  • Strong Attention to Detail and ability to complete multiple ongoing multi-task assignments accurately and on time.
  • Self-Disciplined with a proven track record of dependability and good judgment.
  • Collaborative team player who takes ownership of assigned responsibilities.
  • Ability to work with internal and external customers in various geographic locations across the United States and among diverse groups.
  • Tech savvy, experience with or ability to troubleshoot computer and webinar application issues a strong plus.
  • Office Suite Skills (Experienced/Advanced Outlook, Basic Excel, Word).
  • Google Docs, Smartsheets, or Salesforce experience a plus.
  • Fluency in English and excellent written and verbal communication skills are required.

Additional Requirements:

  • Ability to work over the weekend on average once per month, and flexibility for potential overnight travel within the United States occasionally and if necessary.
  • Ability to work remotely and out of our office in North Irving as needed.
  • Flexibility to be available by phone, text, and email outside of regular business hours, occasionally as needed.
  • Ability to lift and carry up to 50 pounds on a daily/weekly basis, ability to lift and carry over 50 lbs. occasionally, ability to push/pull very heavy equipment on wheels/casters.
  • Ability to stand, push/pull, bend, squat, stretch, reach, twist/turn, walk, and reach throughout the day, and ability to work at a computer and/or sit for extended periods.

Education & Experience:

  • Bachelor’s or Associate's degree preferred.
  • 1-2 years of work experience preferred, though not required.
