Administrative Coordinator

What you will do

Lets do this. Lets change the world. In this vital role you will provide complex administrative support to various team members within the Ultra-Rare Medicines team.

  • Ensures timely coordination of department members administrative needs:
    o Manages multiple and/or or complex team calendars (Outlook)
    o Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelers
    o Organizes meeting rooms, including logistics, catering and equipment needs
    o Prepare and process forms, documents and correspondence; anticipates, revises and sends correspondence Making travel arrangements and preparing expense reports
  • Assisting with special projects
  • Coordinating processes including invoicing, purchase orders, mailings and courier/deliveries
  • Maintaining department email distribution lists
  • Preparing agendas and taking action-items as the need arisesWin

    Associates degree and 2 years of administrative experience

    OR

    2 years in a technical school setting with hands-on experience

    OR

    High school diploma / GED and 4 years of administrative experiencePreferred Qualifications:

  • 5+ years experience in an administrative support role
Strong Outlook, Excel, PowerPoint SkillsKnowledge of SAP, WebEx, MSTeams, SharePoint and ConcurExperience working in biopharma industryStrategic problem solver who loves to think ahead and anticipate solutions to logistical issuesAbility to work in a fast-moving, results oriented environmentDiscretion in dealing with proprietary informationHelpful, can-do attitude with a solution-oriented approachPolite and personable team playerSkilled at remaining calm under pressureThrive
