Summary

The Office Assistant oversees the general administrative function of the North Market Bridge Park. This position has both routine and non-routine duties, including greeting visitors, answering phones, and serving as a point of contact for day-to-day issues affecting the North Market Bridge Park office. A highly professional tone, appearance, and manner is both expected and required, including appropriate communication in person and while on the phone. Duties vary in scope, requiring significant judgment and experience to successfully accomplish tasks with limited direct supervision.

Job Responsibilities (responsibilities may include but are not limited to the following)

● Maintain polite and professional communication while conducting all front desk duties, including answering the phone and assisting visitors, vendors, and merchants

● Perform opening and closing duties as assigned, securing the premises by using opening and closing checklists

● Facilitate the upkeep of office equipment, including cleaning, maintenance, and repairs

● Maintain inventory management for office supplies, food and beverage, North Market merchandise, facility supplies, and janitorial supplies

● Manage all incoming and outgoing U.S. mail and express package services, including scanning documents and distributing them appropriately

● Oversee conference room scheduling and maintain shared Google calendars (events, programming, etc.)

● Inspect the office, merchant floor, and back of house daily to ensure cleanliness; communicate material issues to the General Manager

● Assist the General Manager with maintaining files and records, generating reports, and supporting special projects

● Assist with all aspects of special events, including preparation, setup, execution, and teardown

● Sell North Market merchandise and gift cards while accurately documenting transactions

● Assist in troubleshooting technical issues for the Wi-Fi, Clover POS system, office equipment, and phones, as needed

● Perform other duties as assigned

● Associate's or bachelor's degree (preferred but not required)

● Valid driver's license

Work Environment

The Office Assistant works at the North Market Bridge Park office and interfaces with external guests, merchants, and vendors throughout the day. The hours for this position are 8:30 am to 4:30 pm, Tuesday through Saturday. As this individual is the first point of contact for visitors, punctuality is essential. The Office Assistant should be flexible and readily available depending on the needs of the company.

Reporting Structure

The Office Assistant reports to the General Manager of the North Market Bridge Park.

Physical Requirements

The Office Assistant's physical condition must be sufficient for the consistent and successful completion of the responsibilities defined for this position. This position frequently requires standing, walking, sitting, reaching with hands and arms, and lifting up to twenty-five pounds. The Office Assistant must be able to drive occasionally during the course of work.
