Our client is a global law firm seeking a receptionist for a long-term contract. As the point of contact for clients, visitors, and staff, you will be able to greet and welcome guests, answer phone calls, and direct questions to the right people or departments within the firm. You will also manage the conference room schedule, help with administrative tasks such as filing and document management, and ensure you maintain the reception area professionally. Additionally, you may handle functions; schedule appointments, and support the staff with various administrative tasks as needed. Overall, you will play a crucial role in providing excellent customer service and facilitating smooth operations within the law firm.

Responsibilities
- Meet, greet, and guide both guests and internal employees as needed.
- Deliver outstanding service to clients.
- Manage conference room bookings and optimize their usage efficiently.
- Answer and direct switchboard calls promptly and professionally.
- Record precise and clear messages for internal and external clients and ensure their timely delivery.
- Aid clients with various business services such as scanning, faxing, photocopying, and travel arrangements.
- Report maintenance issues promptly to the appropriate department.
- Maintain close communication with other support departments to ensure seamless service delivery.
- Support other duties and special projects as assigned.
Ideal Experience
- A minimum of 3 years’ relevant experience, within a professional corporate services environment.
- Exceptional communication skills with strong interpersonal skills and the ability to connect with people.
- Advanced competency in the Spanish language.
- Basic knowledge of Word, Excel, and PowerPoint applications.
- Strong organizational skills, strong attention to detail, and sound judgment.
- Strong analytical and problem-solving skills.
- Able to work harmoniously and effectively with others.
- Able to preserve confidentiality and exercise discretion.
- Able to work under multiple deadlines.
- Able to manage multiple projects with competing deadlines and priorities.
