The Accounts Payable Coordinator plays a crucial role in ensuring the smooth operation of our Digital Enterprise organization. This position involves handling administrative tasks related to daily IT operations, and supporting meeting coordination, presentations, and spreadsheet management. You will also work closely with IT functional owners and a successful candidate for this role will need specific experience processing purchase orders, vendor management, analyzing spend
This position will serve our Enterprise Division, located in Atlanta, GA (Hybrid).
Responsibilities
- Day-to-Day IT Financial Operations:
- Create purchase orders (POs) and distribute them to vendors and requestors promptly.
- Ensure appropriate approval of new vendors before setting them up.
- Timely submission of invoices (with Pos # thereon) to Accounts Payable (AP) for processing.
- Regularly work with AP to ensure vendor accounts are current to avoid IT operation interruptions.
- Review and approve telecom bills and address variances with IT management.
- Respond to ad hoc requests for cost detail or vendor analysis.
- In Person Meeting Coordination:
- Help coordinate meeting logistics, such as booking conference rooms and catering needs to ensure smooth meeting experiences.
- Presentation Skills (PowerPoint):
- Create and edit professional presentations using Microsoft PowerPoint to ensure consistency in branding and messaging across presentations.
- Spreadsheet Management (Excel):
- Proficiently use Microsoft Excel for data analysis and tracking.
Qualifications
- Technical/Business School Certificate or Diploma.
- Experience in ERP systems, such as Oracle (5+ years)
- Basic understanding of the procure to pay processes (Quote, SOW, PO, Invoice, etc.) with at least 3 years working experience.
- Proficiently use Microsoft Excel and PowerPoint
- Demonstrates strong communication skills, both written and verbal; interact at various organizational levels.
- Exceptional attention to detail, analytical, and problem-solving/trouble-shooting skills
Preferred Experience
- 5+ years experience in Oracle EBS ERP system and Ekser order management.
- Knowledge of cloud services, cloud service providers (e.g., AWS, Azure, Google).
- Knowledge of IT hardware/software assets which include software licenses and maintenance costs.
- A degree\qualification in Administration, or related field.
