Job Summary

As the Senior Executive Assistant for Complete Solaria, you will provide high-level administrative support to executives and managers within the organization. You will be responsible for managing schedules, coordinating meetings, handling communications, and performing various clerical tasks to ensure efficient operation within the executive office. The ideal candidate should possess excellent organizational and communication skills, discretion, and the ability to multitask effectively.



Responsibilities:

  1. Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements.
  2. Screen and prioritize incoming calls, emails, and correspondence, redirecting them as necessary.
  3. Prepare meeting rooms for presentations, company meetings, press releases, et al.
  4. Manage executives’ and manager’s performance to corporate goals and objectives.
  5. Prepare and edit correspondence, presentations, reports, and other documents for executive review and distribution.
  6. Coordinate and organize meetings, conferences, and events, including arranging logistics and preparing meeting materials.
  7. Act as a liaison between executives and internal/external stakeholders, maintaining professional relationships and facilitating communication.
  8. Conduct research and compile data to support decision-making processes and project management.
  9. Assist with personal tasks and errands for executives as needed.
  10. Maintain confidentiality and handle sensitive information with discretion.
  11. Manage office supplies, equipment, and inventory, ordering supplies as needed.
  12. Provide administrative support to other team members and departments as required.


Requirements:

  1. 15-20 years proven experience as an executive assistant or similar role, preferably in a corporate or military environment. Military administration experience is a plus.
  2. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  3. Strong communication skills, both written and verbal, with a professional demeanor.
  4. Proficiency in Microsoft Office Suite, including Microsoft Teams, and other relevant tools.
  5. High level of discretion and confidentiality.
  6. Ability to anticipate needs and proactively address issues.
  7. Strong attention to detail and accuracy.
  8. Flexibility and adaptability to changing priorities and environments.
  9. Prior active-duty assignments managing military leadership, Bachelor's degree, or equivalent experience preferred.
