ABOUT US:
This position involves performing fulltime EA work split between two companies with the same team:
At Teen FND Academy (TFA), we help teenagers with FND (Functional Neurological Disorder) and their parents learn to resolve FND, with our online group coaching program.
At Your Pediatric Psychologist (YPP) we offer evidence-based psychological treatment methods including Cognitive Behavioral Therapy (CBT), Biofeedback treatment, Hypnosis, and Acceptance and Commitment Therapy (ACT) to treat teens with chronic pain and FND.
We are seeking an executive assistant with excellent communication skills who can demonstrate past success in efficiency, collaboration and organization. This is not a passive administrative role: You must be a forward-thinker that will help drive the operation forward at a high pace with efficient and timely execution.

Candidates must have a Proven experience as an Executive Assistant, or similar role with a successful business, and a strong interest in working with families (Parents and Teens).

ROLE:
As the Executive Assistant, you will play a critical role in supporting leadership by managing day-to-day operations, organizing tasks, and ensuring projects run smoothly. This position requires exceptional organizational skills, proactive problem-solving, and the ability to adapt quickly in a fast-paced work environment.
RESPONSIBILITIES:
1. Administrative Support:
• Manage calendars, schedule meetings, and coordinate appointments.
• Handle email correspondence, filtering and prioritizing as needed.
• Prepare meeting agendas, take notes, and follow up on action items.
• Assist in the coordination and management of personal administrative needs of the Founder and Co-Founder
2. Project Management:
• Track progress on projects, ensuring deadlines are met.
• Assist in creating and organizing project documentation and reports.
3. Task Coordination:
• Oversee and prioritize tasks to ensure alignment with company goals.
• Serve as a liaison between the executives, clients, and other contractors.
4. Communication:
• Respond to inquiries and act as a representative of the leadership team in professional settings.
• Draft and edit correspondence, presentations, and documents.
5. Travel Coordination:
• Plan and arrange travel itineraries, accommodations, and logistics.
6. Research and Reporting:
• Conduct market research or gather information to assist decision-making.
• Generate reports and summaries for leadership review.
7. Process Optimization:
• Identify opportunities to streamline workflows and improve operational efficiency.
• Implement and maintain organizational systems and tools.
8. Office Management:
• Maintain an orderly office environment, including but not limited to: Maintaining office snacks and refreshments, taking out trash, managing hired cleaners, handymen, IT consultants et. al., ordering lunches as needed, preparing meeting spaces
QUALIFICATIONS:
• Proven experience as an Executive Assistant or a similar role.
• Exceptional organizational and time-management skills, with meticulous attention to detail and ability to follow-through with instructions of company workflow
• Excellent written and verbal communication abilities.
• Proficiency in tools such as Google Workspace, Microsoft Office, and project management software (e.g., Asana, Kajabi, Copper CRM).
• Ability to multitask, prioritize, and meet deadlines in a fast paced work environment.
• High level of discretion and professionalism in handling sensitive information.
• Problem-solving mindset and proactive approach to tasks.
• Familiarity with online coaching programs and mental health private practices is a plus.
MEASURES OF SUCCESS:
• Timely and accurate completion of assigned tasks by following the company’s workflow (SOP).
• High level of responsiveness and adaptability to the executive’s needs.
• Positive feedback from leadership and team members.
• Proactive identification and resolution of challenges.
Primary KPI to measure success as an effective Executive Assistant will be determined based on how much net time the leadership is saving by your addition to the team. (Ie - total guidance time, plus redirection, recovery of error minus total hour value of productivity)
HOURS:
Flexible, but must be available during 9am-6pm Mountain Time Zone.
