As we continue to grow, we are seeking an organized and proactive Assistant to the Chief Executive Officer to support the CEO in managing operations, administration, HR, bookkeeping, and other critical business areas.
Job Summary:
The Assistant to the Chief Executive Officer will serve as a trusted partner, providing high-level administrative and operational support to ensure the CEO’s effectiveness in leading the business. This role requires someone who is resourceful, detail-oriented, and capable of handling diverse responsibilities in a fast-paced environment. The ideal candidate will take ownership of tasks across operations, administration, HR, and finance while maintaining confidentiality and professionalism.
Key Responsibilities:
Administrative Support:
- Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
- Prepare agendas, presentations, and materials for meetings, ensuring the CEO is well-prepared.
- Act as the first point of contact for internal and external communications on behalf of the CEO.
- Maintain and organize files, documents, and records, both digital and physical.
Operations Management:
- Assist with daily operational tasks, ensuring smooth workflows across departments.
- Track and monitor project timelines, deliverables, and key milestones.
- Liaise with department heads to align on operational priorities and progress updates.
Human Resources:
- Serve as the primary HR contact for employees, handling onboarding, benefits, and employee inquiries.
- Collaborate with third-party HR providers to ensure compliance with policies and regulations.
- Manage personnel records and assist with recruiting efforts as needed.
Bookkeeping and Financial Reporting:
- Handle accounts payable and receivable, including vendor and invoice management.
- Assist with payroll processing, 401(k) payments, and other financial obligations.
- Organize and categorize expenses, upload statements, and perform journal entries.
- Prepare monthly financial reports and assist with budgeting and forecasting.
Analysis and Reporting:
- Provide data analysis and insights to support decision-making and business growth strategies.
- Monitor key performance indicators (KPIs) and present findings to the CEO.
Other Responsibilities:
- Manage office supplies and coordinate vendor relationships to ensure efficient operations.
- Handle special projects and assignments as directed by the CEO.
- Provide support in all areas of the business where the CEO requires assistance, adapting to changing priorities.
Qualifications:
- Bachelor’s degree in Business Administration, Management, Finance, or a related field is required.
- Proven experience as an Executive Assistant, Operations Manager, or similar role, supporting senior leadership.
- Strong organizational and multitasking skills with excellent attention to detail.
- Experience in HR functions, bookkeeping, and financial reporting is highly preferred.
- Proficiency in Microsoft Office Suite and familiarity with accounting software (e.g., QuickBooks).
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Problem-solving mindset with the ability to anticipate needs and take initiative.
- Comfortable working in a fast-paced environment and adapting to evolving business needs.
