CWC is a mental health counseling center dedicated to delivering compassionate care. We offer individual, couple, family, and group therapy, creating a welcoming space for clients and staff alike. Our team is dedicated to ensuring a seamless scheduling experience, from initial intake to ongoing appointment management.


Position Overview:


The Patient Scheduling Coordinator will manage the scheduling of appointments, support client intake and onboarding, and handle sensitive client interactions. The main goal of this role is to ensure a positive client experience through efficient scheduling and proactive relationship management. The ideal candidate is detail-oriented, adaptable, and capable of managing complex schedules while maintaining a client-focused approach.


Key Responsibilities:


Scheduling & Client Management:

  • Coordinate and manage complex scheduling for current clients, potential clients, and waitlists.
  • Approach scheduling as a dynamic puzzle, adjusting pieces frequently to accommodate 13 clinicians with varied needs.
  • Communicate appointment details, changes, and confirmations promptly and accurately.
  • Prioritize urgent scheduling needs and ensure efficient appointment management.


Intake & Onboarding Support:

  • Assist in the intake process for new clients, ensuring accurate documentation and a smooth onboarding experience.
  • Collaborate with clinicians and administrative staff to provide timely appointment scheduling for new and existing clients.


Client Advocacy & Relationship Management:

  • Handle sensitive client information with discretion and professionalism.
  • Provide empathetic support to clients, answering scheduling inquiries, and resolving any conflicts.
  • Serve as a liaison between clients and clinicians, fostering positive relationships and ensuring a supportive experience.


Administrative Support:

  • Provide general administrative support, including data entry, maintaining electronic health records (EHR), and assisting with front desk duties as needed.

  • Tech-Savvy: Proficient in scheduling software, EHR systems, office applications (Microsoft Office Suite or Google Suite), and Slack.
  • Organized & Detail-Oriented: Strong multitasking abilities, ensuring accuracy in scheduling and client interactions.


Qualifications:


Education: High School Diploma or equivalent required; an Associate’s or Bachelor’s degree in Healthcare Administration, Business, or a related field is preferred.

Experience: 1-3 years of experience in medical scheduling, client relations, or healthcare administration, preferably within a clinical setting.

Background Check: Must be able to pass a background check as a condition of employment.

Skills: Strong interpersonal skills, ability to handle confidential information, and a commitment to patient advocacy.
