Job Posting: Interior Design Firm Procurement Specialist

Location: The Woodlands, Texas or Austin, Texas


Join our team as a Procurement Specialist where you’ll play an essential role in the seamless coordination between Design, Accounting, and our Warehouse operations. This position is ideal for a detail-oriented, collaborative professional who is driven to support both client satisfaction and company profitability.

Purchasing Responsibilities

As a Purchasing Specialist, you will:


Purchase Order (PO) Process

• Submit POs for approved orders once the deposit payment is received by Accounting.

• Collaborate with Designers as they initiate the PO process, providing project briefs and ensuring readiness for the Purchasing phase.


Acknowledgments and Invoicing

• Review acknowledgments and invoices, confirming item details, colors, quantities, and pricing match Designer specifications.


Designer Communication

• Communicate discrepancies found during invoice reviews, as well as any backorders or stock issues requiring reselection.


Accounting Coordination

• Facilitate approvals and payment requests with Accounting based on confirmed invoicing.

• Address changes such as backorders or reselections and work with Accounting on warehousing fees and installation charges for accurate final invoicing.


Product Tracking

• Maintain up-to-date tracking of all ordered products, knowing each item’s location and production stage.


Warehouse Coordination

• Manage relations with appointed Warehouse/Receivers. Review inspection reports upon arrival, manage repair or replacement processes for damaged items, and ensure proper billing for damage resolution.


Vendor Relations

• Manage vendor communications regarding orders, update terms, negotiate pricing, and handle new account setups.


Client Communication

• Keep clients informed on any damages, shipping delays, or extended backorders, ensuring transparency and client satisfaction.


TIPLER Design Office Deliveries Management

• Oversee the TIPLER Design office deliveries, including receiving, inventory management, and inspection to confirm accurate product deliveries.


Source Database Management

• Maintain our Source Database, updating vendor details, pricing terms, and account access for accurate and current records.


Departmental Improvements

• Review and refine Purchasing procedures to eliminate inefficiencies, improve collaboration, and enhance overall departmental performance.
