Administrative Assistant for Dietetic Programs and Academic Depts

GENERAL STATEMENT OF DUTIES:
Provide part-time support to the Coordinated Program in Dietetics and the Didactic Program in Dietetics as well as two academic departments, Nutrition and Health Studies and Mathematics. This role includes working with faculty, staff and students.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:
- Maintain records for the accrediting body of past and present student records and affiliated schools, hospitals and internship programs.
- Process annual student admission applications for the Coordinated Program in Dietetics and the Didactic Program in Dietetics by collecting and tracking applications, resumes, cover letters, current and past college transcripts.
- Send Handbook to DPD students and track receipt of acknowledgment form.
- Manage and maintain spreadsheets for internship hours.
- Save and record student hours.
- Create a Course Flow spreadsheet for every incoming CPD student.
- Maintain records for medical documents, fingerprinting and CORI/SORIs for students.
- Create reports based on data in Excel.
- Create documents of the affiliated clinical, food, school, and community organization schedules for the student's rotations.
- Provide correspondence and communication with Food and Nutrition and Health and Wellness students for upcoming events, deadlines, meetings, and job opportunities. Includes a weekly newsletter.
- Manage the study materials for the RD exam.
- Prepare Year-End Certificates to Preceptors.
- Order Student Dietitian Name Pins.
- Provide administrative assistance for Nutrition and Health Studies, and Mathematics.
- Answer phone, emails and provide excellent customer service to those seeking assistance from two academic departments as well as students and other faculty and staff.
- Order supplies from storeroom and track in spreadsheet on the shared drive.
- Collect and maintain all syllabi and schedules each semester to the shared drive.
- Collect and maintain program documents to OneDrive.
- Update departmental phone cards, and hall board directory.
- Maintain spreadsheet records of purchases against standing POs, Nutrition and Health Studies purchase order for food used in the student labs, reserve rooms in online reservation system, and order food from campus food service provider for various events.
- Maintain a spreadsheet of all purchases and regularly check and enter all goods have been received and checks cashed by using Banner.
- Assume responsibility for special projects as assigned.

Job Requirements:
MINIMUM QUALIFICATIONS:
- Proficiency in Microsoft Office, particularly Excel and OneDrive.
- Associate degree or higher and/or two years or more working in an office environment.
- Excellent customer service skills.
PREFERRED QUALIFICATIONS:
Candidates who are bilingual in English and Spanish or English and Portuguese are strongly encouraged to apply.
Additional Information:
This is a part-time non-benefited, contract position, not to exceed 18 hours/week. The scheduled hours are flexible. The pay rate is $28/hour.
