Proclinical is currently seeking an organized, detail-oriented, outgoing person to join its Educational Program Development team as Regional Education Manager. This role will be responsible for all aspects of regional meetings management and will primarily focus on recruiting institutions and state society chapters to collaborate with to host meetings. The types of meetings include, but are not limited to: hospital-based grand rounds, institution-based specialty meetings, association-related state chapter meetings, and stand-alone half/full day
meetings. The Regional Education Manager, will maintain and expand our internal database of contacts within hospitals, medical offices, health systems, and state society/association chapters. The role will involve maintaining our existing relationships, expanding our offerings to existing contacts, as well as a heavy focus on cultivating new relationships to ensure the placement and success of hundreds of meetings per year.

Key Responsibilities

  • Oversees the placement of virtual and in-person meetings with appropriate hosts/institutions for assigned projects
  • Cultivates new relationships by identifying the appropriate contacts at local hospitals,institutions, health systems, and state chapters
  • Reaches out to new potential contacts via phone (cold calling), email, LinkedIn, or other avenues to establish relationships
  • Expands existing relationships through dialogue around higher-level collaboration and partnership opportunities
  • Maintains existing host relationships and coordinates meeting placement within our current network of contacts
  • Strengthens our current relationships with hospitals, health systems, professional societies/associations, Integrated Delivery Networks (IDNs), and Accountable Care Organizations (ACOs), to better meet their educational needs with innovative programs
  • Promotes valuable and engaging educational interventions, resulting in positive feedback from hosts and attendees and in repeat participation
  • Establishes trust and creates a cohesive relationship with partnering organizations by providing timely and accurate communications about the activity's status
  • Participates in internal activity kick-off meetings, outlining each activity's unique specifications and establishes a clear plan for appropriate placement of the meetings
  • Maintains and tracks overall host stipend budget and flags areas of concern to upper management for approval as needed
  • Brainstorms ways to reduce costs, maximize internal resources, save time, and re-imagine products for the greatest efficiency
  • Acts as moderator and leader for virtual regional meetings, introducing the faculty and host, moderating Q&A, pushing out polling questions, etc, if appropriate based on relationship with host
  • Coordinates with Faculty & Professional Relations dept., as needed, to ensure a seamless travel and logistics experience for faculty
  • Travels to live meetings, as needed, to further develop host relationships and assist with onsite meeting execution
  • Communicates regularly with internal contacts about host recruitment efforts and new partnerships
  • Identifies new opportunities for greater attendee engagement, leading to better evaluation methods and outcomes collection
  • Prepares comprehensive reports to partnering organizations, senior management, and supporter liaisons at required intervals and upon request

Skills & Qualifications
The ideal candidate will be a highly motivated, self-starting, detail-oriented individual, in addition to:

  • At least 2 years of relevant CME/CE project management experience or at least 2 years of relevant medical education experience with prior experience working on regional meetings, or within a health system as a CME coordinator or other relevant position.
  • Effective and professional verbal and written communication skills
  • Ability to manage multiple projects; meet tight deadlines and thrive under pressure
  • Preferred candidate will have experience and current relationships working with CME coordinators, department heads, physician practice managers, etc. at hospitals, physician practices, and professional societies/associations, placing regularly scheduled series/Grand Rounds-type educational meetings and state chapter meetings
  • Comprehensive understanding and use of Microsoft Office and G-Suite (Google Apps)


Location
This role will be home based in the US. The role will reside within the project management team and report directly to the Director of Regional Education.
