The Legal Administrative Assistant (LAA) provides important administrative support to assigned attorneys as a member of the overall litigation defense team. The LAA is completes a variety of secretarial and administrative support tasks such as preparing and filing legal documents, maintaining legal files, composing and proofreading correspondence, and managing attorney calendars.


Reports To: Assigned Attorneys

FLSA Designation: Non-Exempt


Primary Responsibilities:

  • Provides administrative/ secretarial support to assigned attorneys.
  • Client interaction: Answers incoming phone calls and facilitates handling of requests for information in a professional and prompt manner.
  • Document production and maintenance: Accurately drafts correspondence per the attorney(s) direction, including but not limited to proofreading, sending, and saving correspondence to the firm’s file storage system. Works from dictation, rough drafts or notes provided by others, and may handle preliminary research of information needed for completing correspondence.
  • File management: Opens new client matter files. Organizes, tracks, and maintains documents in client files, including closing and storing files following the resolution of cases according to firm policies.
  • Calendar Management: Ensures all relevant dates and deadlines are accurately and promptly reflected on each attorney’s calendar.
  • Time Entry: Accurately enters billable time on behalf of assigned timekeepers by the required deadline.
  • Reporting: Maintains attorney case lists, making regular updates as needed. May assist with routine client reporting at the attorney’s request.
  • Provides assistance to attorneys on various projects.
  • May make travel arrangements and prepare travel expense reports.
  • Other duties as assigned.


Key Knowledge, Skills & Abilities:

  • High School Diploma, or equivalent.
  • A minimum of 2 years of experience as a Legal Administrative Assistant handling litigation matters is required. Applicants may substitute higher education for some of this required experience.
  • Microsoft Office proficiency, including Word, Excel, and Outlook.
  • Excellent oral and written communication skills.
  • The ability to communicate effectively and professionally with internal and external clients on all levels.
  • Excellent typing, grammatical and proofreading skills, and attention to detail.
  • The ability to work at computer, sit, stand, and occasionally lift up to 25 pounds.
