The Legal Administrative Assistant plays a vital role in supporting the litigation defense team at Goodell Devries Leech & Dann. This position requires a high level of administrative support, including preparing and filing legal documents, maintaining legal files, and composing correspondence.

Key Responsibilities:

  • Provide administrative support to assigned attorneys, including preparing and filing legal documents and maintaining legal files.
  • Client interaction: Answer incoming phone calls and facilitate handling of requests for information in a professional and prompt manner.
  • Document production and maintenance: Accurately draft correspondence per the attorney's direction, including proofreading, sending, and saving correspondence to the firm's file storage system.
  • File management: Open new client matter files, organize, track, and maintain documents in client files, including closing and storing files following the resolution of cases according to firm policies.
  • Calendar Management: Ensure all relevant dates and deadlines are accurately and promptly reflected on each attorney's calendar.
  • Time Entry: Accurately enter billable time on behalf of assigned timekeepers by the required deadline.
  • Reporting: Maintain attorney case lists, making regular updates as needed. May assist with routine client reporting at the attorney's request.
  • Provide assistance to attorneys on various projects.
  • May make travel arrangements and prepare travel expense reports.

Requirements:

  • High School Diploma, or equivalent.
  • A minimum of 2 years of experience as a Legal Administrative Assistant handling litigation matters is required. Applicants may substitute higher education for some of this required experience.
  • Microsoft Office proficiency, including Word, Excel, and Outlook.
  • Excellent oral and written communication skills.
  • The ability to communicate effectively and professionally with internal and external clients on all levels.
  • Excellent typing, grammatical and proofreading skills, and attention to detail.
  • The ability to work at computer, sit, stand, and occasionally lift up to 25 pounds.
