Position Overview:

We are searching for a versatile and tech-savvy Executive Culinary & Operations Assistant (ECOA) to support the owner of FARMSHOP. This position combines executive assistance, project management, and culinary understanding to ensure operational efficiency. The ideal candidate will excel in MS Office applications, maintain confidentiality, and possess a strong understanding of restaurant operations and culinary terminology.


Key Responsibilities:

Executive Assistance

Manage the owner’s email inbox, respond to inquiries, delegate tasks as appropriate, and bring important matters to his attention.

Maintain the owner's calendar and schedule, coordinating meetings and appointments efficiently.

Handle sensitive information with discretion and professionalism, ensuring confidentiality is always maintained.

Preparation and Briefing

Gather necessary background information about clients (including products and company history), ensuring the owner is adequately prepared for meetings and engagements.

Provide detailed briefings to the owner prior to meetings, highlighting key points and potential discussion topics.

Meeting Support

Attend meetings with the owner as needed, taking minutes, and capturing key decisions and action items.

Assist in facilitating meeting agendas and follow-up on action items to ensure productive discussions.

Project Management and Operation Support

Coordinate project initiatives, track timely completion of tasks, and report progress as needed.

Liaise with stakeholders to facilitate project milestones and objectives.

Follow up on action items, inquiries, and requests to ensure operational efficiency.

Assist in financial management tasks such as expense tracking, budgeting, and reporting.

Culinary and Procurement Liaison

Utilize comprehensive culinary knowledge to effectively communicate with the culinary team, vendors, and stakeholders.

Collaborate closely with the owner to understand preferences and ideas, providing creative input to bring concepts to life.

Creativity and Innovation

Collaborate with various departments to bring the owner's ideas to life and enhance the brand.

Provide creative input and innovative solutions to bring new concepts to fruition.

Travel Arrangements

Coordinate travel arrangements for the owner, including flights, accommodations, ground transportation, and itinerary planning.

Prepare travel expense reports and reconcile expenses in a timely manner.

Administrative Support

Provide general administrative support to the owner's office, including filing, record-keeping, and office organization.


Qualifications:

Bachelor's degree, or Culinary education is preferred.

Proven experience in executive assistance or a similar role, preferably supporting C-Suite executives or Ownership.

Strong organizational and time-management skills, with the ability to prioritize tasks effectively.

Excellent communication skills, both written and verbal.

Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook), Toast and other relevant software.

Ability to handle sensitive information with discretion and professionalism.

Creativity and innovation in problem-solving.

Flexibility to work weekends and holidays as required.
