You are the Project Assistant If you are interested in improving the environment and advancing your career, we are currently seeking a motivated and energetic mid-level Project Assistant. Under the direction of the Administrative Manager, this position supports aspects of project and administrative support activities.

Your responsibilities may include, but will not be limited to, the following:

• Produce complex documents requiring substantial word processing compilation, reproduction, and distribution. This includes correspondence, reports, proposals, abstracts, presentations, invoices, and memos according to company/client guidelines.

• Prepare spreadsheets to track progress and remaining tasks for project related activities.

• Provide support to client project teams by assisting Project Managers with project set up, proposals, contracts, and project-related coordination tasks.

• Assist with production of client invoices, contracts, addendums, and documentation.

• Assist Project Managers to track project status and costs.

• Proofread and edit outgoing documents.

• Reviewing/improving/expanding templates and providing guidance to new and existing employees.

• Expand and maintain EKI style guide for documents.

• Providing guidance and training to technical staff and administrative to facilitate efficient production of documents.

• Providing guidance and examples on how we maximize the use of PowerPoint capabilities in our presentations and conducting demonstrations and training sessions.

• Assisting with management of project folders and specifically developing and implanting protocol for protecting final deliverable files (a huge gap in our current practice).

• Prepare memos, correspondence, spreadsheets, and presentations.

• Implement goals, objectives, policies, procedures, and work standards.

• Coordinate tasks with internal working groups, clients, and vendors.

• Train administrative staff to provide project assistance.

• Organize and file documents.

• Support IT and Marketing to maintain CRM and Intranet.

• Provide timely and knowledgeable responses to requests.

• Perform other relevant duties when needed.

• Mentoring

The successful candidate should have the following background:

• Minimum of five years of project assistant work experience.

• Experience and ease of working with Adobe Acrobat and Microsoft Office 365, specifically including strong skills in Outlook, Word, Excel, PowerPoint.

• Confidence in learning and using new platforms and software as needed.

• Skilled in the use of the Internet as a research tool.

• Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.

• Timely response to written communication and ability to juggle multiple channels of communication.

• Highly organized, self-directed, reliable, and pays attention to detail.

• Ability to handle confidential information.

• Ability to see what needs to be done and take initiative.
