SUMMARY
Firm Advice is conducting a search for an experienced paralegal / Contract Administrator for its long-term, diversified financial and insurance client. This is an outstanding opportunity to leverage previous legal experience, apply it in an in-house role, and develop new skills and relationships to further your career progression.
The primary responsibilities of the position are contract management, administering a matter management platform, and responding to records requests, subpoenas and similar records production obligations. The position will also assist in operational activities of the Foundation that provides educational scholarships.
Position is hybrid, two days per week in Silver Spring office, located at Silver Spring Metro.
RESPONSIBILITIES INCLUDE
- Serve as the lead co-administrator for the law department’s contract management system (CMS) and provide overall administration oversight of the contract management function within the department.
- Ensure accurate integration into the CMS of contract requirements and milestones for new agreements, renewals, SOWs; set up client-side approvals, reviews, and notifications; update platform data as required; and archive agreements when terminated.
- Serve as the principal liaison between the CMS and the vendor development team on projects and product enhancements and attend monthly administrator training.
- Oversee CMS user onboarding and training; activate/deactivate users; ensure users’ timely completion of contract-related reviews, approvals and other tasks; coordinate platform upgrades with vendor and company IT department; troubleshoot user issues; and generate reports upon request.
- Serve as the lead co-administrator for the law department’s matter management platform, LegalFiles, and assist users with inputting new data and records in the application; serve as liaison with the vendor on system enhancements and training needs; and designated matters for closed status as appropriate.
- Respond (with oversight of department attorneys or outside counsel) to records subpoenas and records requests from third parties; assist in document productions in ongoing litigation; gather, organize and process for production electronic and hard copy records; coordinate the completion of custodian of records certifications.
- Assist with the operational activities of the Foundation, including using Foundation data management platform and documenting Foundation activities; circulating Foundation grant program information to prospective grantees and other third parties; supporting Foundation fundraising activities; and supporting the Foundation’s officers and directors on operational matters.
REQUIREMENTS
- At least 3 years of relevant contract management experience.
- Previous experience with subpoena and records requests is strongly desired.
- Keen attention to detail is a must.
- The ideal candidate will be a highly motivated, self-directed and organized professional.
- As a valued in-house resource, the position has extensive internal and external client interactions, requiring excellent verbal and written communication skills.
