Executive Administrative Assistant

Job Description
Administrative responsibilities to the CEO, President, and/ or General Manager and other members of the Executive Team.
ESSENTIAL FUNCTIONS:
- Schedules and maintains calendar.
- Works with the aviation department to coordinate all travel arrangements, including rental vehicles and hotel rooms.
- Answers phone calls, monitors voicemails and emails and determines the proper actions for response.
- Creates documents (PowerPoint Presentations, Word Documents, Excel Spreadsheets…) used in Executive meetings and customer visits.
- Position will interact with customers, executive staff, and various departments within each business unit and provide support as needed.
- Coordinates details for large meetings and events. (Christmas Breakfast, OSU Football, Executive Strategic Meetings, The Memorial Tournament, Employee Service Awards…)
- Updates QuickBooks and processes reports concerning personal financial information.
- Files and maintains important and confidential documents, both personal and business related, and manages expenses,
ADDITIONAL RESPONSIBILITIES:
- Due to the nature of the business as a 24/7 service company, non-traditional availability may be required as a regular part of the job.
- Acts as a personal assistant by running errands, purchasing various supplies, reading and processing mail, and executing various tasks as assigned.
- This position is expected to support and comply with company policies and procedures to cultivate the MPW culture.
- Other duties as assigned.

Required Experience
- 3-5 years’ administrative experience with senior-level management
- Strong organizational and planning skills
- Proficient computer skills encompassing the Microsoft Program Systems (Word, Excel, PowerPoint, OneNote, and Outlook) Experience with QuickBooks preferred
- Effective communication skills, oral and written
- Knowledge of Accounting Principles
- High understanding for the importance of confidentiality
