Executive Administrative Assistant

Job Description

Administrative responsibilities to the CEO, President, and/ or General Manager and other members of the Executive Team.

ESSENTIAL FUNCTIONS:

  1. Schedules and maintains calendar.
  2. Works with the aviation department to coordinate all travel arrangements, including rental vehicles and hotel rooms.
  3. Answers phone calls, monitors voicemails and emails and determines the proper actions for response.
  4. Creates documents (PowerPoint Presentations, Word Documents, Excel Spreadsheets…) used in Executive meetings and customer visits.
  5. Position will interact with customers, executive staff, and various departments within each business unit and provide support as needed.
  6. Coordinates details for large meetings and events. (Christmas Breakfast, OSU Football, Executive Strategic Meetings, The Memorial Tournament, Employee Service Awards…)
  7. Updates QuickBooks and processes reports concerning personal financial information.
  8. Files and maintains important and confidential documents, both personal and business related, and manages expenses,

ADDITIONAL RESPONSIBILITIES:

  1. Due to the nature of the business as a 24/7 service company, non-traditional availability may be required as a regular part of the job.
  2. Acts as a personal assistant by running errands, purchasing various supplies, reading and processing mail, and executing various tasks as assigned.
  3. This position is expected to support and comply with company policies and procedures to cultivate the MPW culture.
  4. Other duties as assigned.

Required Experience

  1. 3-5 years’ administrative experience with senior-level management
  2. Strong organizational and planning skills
  3. Proficient computer skills encompassing the Microsoft Program Systems (Word, Excel, PowerPoint, OneNote, and Outlook) Experience with QuickBooks preferred
  4. Effective communication skills, oral and written
  5. Knowledge of Accounting Principles
  6. High understanding for the importance of confidentiality
