Job Summary:

This position ensures good service and responsiveness for Nelson Labs’ clients. This will focus on daily operational support for invoice processing and client account maintenance. It includes fielding customer calls and building customer relationships through excellent communication.

Performs various activities to support the company’s billing processes. Includes issuing invoices and credit memos, updating customer records, and sending out monthly billing statements. The Invoicing Specialist will also prepare documents, track expenses, and handle incoming customer calls.

Essential Duties:

General

Daily invoice processing Escalate difficult invoicing issues to experienced Invoicing Specialists Customer account maintenance including invoice reconciliation process and payment disputes Maintain integrity of client sales and account contact information Answer inbound calls from clients and handle inquiries Ensure first-answer service and responsiveness for clients Communicate effectively with clients to identify needs and provide proactive solutions Guide clients on how to use company systems when using the customer portal or making a payment.

Invoicing Specialist II Specific Responsibilities

Performs all general duties Be able to understand and resolve escalated invoicing issues Fully understand credit rebills and be able to troubleshoot Fully understand all processing errors and resolution paths Trained to support a second geographic location as needed (. Fairfield NJ, Bozeman MT,

Work Environment:

This job operates in a professional office and laboratory environment. This role routinely uses standard office equipment such as computers, keyboards, computer mouse, telephones, photocopiers, projectors, and file cabinets.

Physical requirements:

Must be able to stand/walk for 10% of the day and 90% of the day sitting at a desk or on the computer. Must be able to occasionally lift a maximum of 45lbs.

Education and experience requirements:

Must have a high school diploma or equivalent. Customer Service Experience and any accounting/invoicing training and certifications preferred.
