Office Facilities Coordinator

Your Role
The Office Services Coordinator is a member of the Facilities Team and is responsible for maintaining the aesthetic appearance and cleanliness of a high-end office environment, provide administrative and clerical support, and provide a hospitable environment for clients and employees alike. We are seeking someone who is highly motivated, hospitality focused, an effective decision maker, and able to balance working independently and being a team player. This person will be an important part of our team, taking ownership of key areas of our office, supplies, events coordination assistance, and facilities assistance.
What You Will Do
Provides outstanding, proactive Customer Service to internal and external clients
Answer phones and directs calls as necessary
Manage catering
Deliver, refresh, and remove food items accordingly
Interface with administrative team, possibly executives, to understand requirements for meeting room space and with on-site facility team to implement
Meeting Set Up/Clean Up
Ensure proper purchase and payment, billing, and coding for internal catering services
Reset conference rooms daily, as necessary
Ensure a clean, tidy reception/café area
Inventory, order and restock café/coffee stations
Monitor the conference room scheduler
Provide excellent customer service at the Reception Desk
Support internal events (all-staff meetings, open houses, tours, social and learning)
Provide administrative support or assistance to Administrative Staff or other personnel as needed
Seeks to continuously improve processes, systems, and customer service
Your Qualifications
Experience working in front end hospitality and/or large professional services office environment is highly desirable
3+ years professional experience
Must be computer literate and proficient in Microsoft Word, Excel, and PowerPoint
Must have excellent organizational, verbal and written communication skills
Ability to be a dependable team player
Ability to multi-task in a high paced environment
Ability to step in to assist beyond general responsibilities
Ability to take initiative and be proactive vs. reactive
Ability to lift 20+ lbs
Ability to be on feet majority of the day
Ability to anticipate needs before they arise
