SUMMARY

Blum Construction is seeking a full-time operations specialist who will be an energetic and active part of Blum’s Operations team. Reporting directly to the Executive Vice President(s) of Operations, the operations specialist will provide specialized support relative to both internal and external operations.

RESPONSIBILITIES

Act as a liaison between the Executive Vice Presidents of Operations and other Operations team members to ensure seamless communication Coordinate all aspects of meetings and conference calls including calendar invites, agendas, catering, AV set-up, agendas, recording meeting minutes while tracking action items, and ensuring critical information is documented and appropriately shared Monitor department’s compliance with Operations Leadership Standards Exhibit the highest level of confidentiality with sensitive information, demonstrating integrity and professionalism Ability to act as a gatekeeper and escalate relevant information to the EVPs of Operations as needed Develop effective systems and workflows that result in precise record keeping, accurate tracking of responsibilities, and clear communication Perform business/situational analysis and develop recommendations to support department’s administrative and communication process Maintain, update, and organize files, meeting logs, and other department records Proofread communication and reports, as needed, and be responsible for accuracy and clarity Generate correspondences, memos, charts, tables, graphs, business plans as required Perform administrative duties for EVPs of Operations, such as: scheduling meetings, coordinating executive travel, and completing expense reports Manage ad-hoc tasks and special projects as assigned

TECHNICAL QUALIFICATIONS

Associate degree required, Bachelor degree preferred Minimum of 5 years of administrative assistant experience Advanced level computer skills with proficiency in Microsoft Office products (Outlook, Word, Excel, and PowerPoint) Proficiency in web-based software; experience with Office365 a strong preference
