Job Description

1. Must work in a confidential manner to ensure confidentiality of project files.
2. Performs administrative and field support duties and may assist in composing routine correspondence and coordinating activities.
3. Assists in filing, copying, scanning and faxing documents.
4. May answer telephone calls, take messages and transfer calls.
5. Checks quality of own work.
6. May assist in coordinating meeting arrangements and catering services for department functions.
7. May order project or department supplies and maintain supply cabinet.
8. May distribute department bulletins.
9. Assists in distribution of incoming and outgoing documents throughout the office, including the field.
10. Keeps abreast of project departmental systems, services relevant to area of responsibility, process improvements, procedures, and practices.
11. Must be punctual and maintain a dependable level of attendance in accordance to project work rules.
12. Adheres to all safety procedures.

13. Coordinate with Workforce Services to ensure prompt input of all required payroll information for crafts (e.g., HRIS input for new hires, terminations, rate changes, classification changes, etc.)
14. Processing new hires, i.e., badging, testing assigned badges, etc.
15. Verify daily craft attendance using Bechtel’s electronic timekeeping system, eTrack.
16. Prepare and distribute any project approved daily craft time and attendance reports, (i.e., force report, attendance, infraction report, etc.)
17. Receive and record in eTrack the daily craft call-ins (late arrival, absentees, etc. as well as RTOs).
18. Assist with reassigning craft to different crews as requested by superintendents.
19. Post and balance daily time records for craft payroll, resolution of discrepancies on daily time entries and cost codes.
20. Assist with printing and preparation of craft weekly pay documents for distribution at the site.
21. Other duties as assigned by the Lead Timekeeper or Sr. Project Accountant.
