The Infectious Diseases Society of America (IDSA) is seeking a Guidelines Operations Specialist. The Guidelines Operations Specialist provides programmatic operations support to the Guidelines Team of the Clinical Affairs & Practice Guidelines Department, clinical practice guidelines, and guidance expert panels. The Guidelines Operations Specialist plays an integral and centralized role in supporting the daily operational and administrative tasks for the team while also delivering excellent customer service and using their critical thinking skills to solve complex problems. The purpose of this role is to optimize daily activities and performance of the Guidelines team across the board.

The ideal candidate will possess strong organizational skills, excellent communication abilities, and a keen eye for process improvement opportunities.

Qualifications

Characteristic Essential Responsibilities:

Monitors and manages the day-to-day operations of the Guidelines Team including but not limited to: reporting on performance and recommending actionable improvements when necessary Provides guideline development management and support, including the management of guidance panels Supports external consultants and guideline team members Oversees and manages the annual COI collection and approval process Tracks guideline and guidance timelines, milestones, and progress Develops and contributes to meeting agenda and minutes Collates and edits guideline and guidance materials Maintains and organizes reference libraries Develops, maintains, and distributes procedures and protocols (such as SOPs to Guidelines Team and Handbook for members) Periodically reviews and updates team procedures and protocols; stays up to date with best practices Participates in streamlining quality improvement initiatives and the standardization of processes Leads in the development and maintenance of internal guideline tracking systems Assists guideline team members in separating and combining tasks into efficient workflows for guidelines panel Provides project management support in the formation, onboarding of guideline panels, panel rotation cycle and management of panelists’ conflict of interest disclosures throughout guideline lifecycle Manages online technological resources to maintain efficiency and to ensure user-friendliness Leads in the planning for ID Week annual meeting workshops and guideline related activities Prepares panel reports and background information to members of the Guidelines Committee Supports the annual committee member application and onboarding processes Manages the submission and review of guideline publications Maintains relationships with external organizations Serves as a mentor and point of contact for the Program Coordinator Responds to and routes inquiries and feedback from volunteers, membership, other associations and the general public Assists with other department projects, including the development of clinical tools and resources Stays informed about industry trends and best practices Performs other work-related duties as assigned.

Minimum Qualifications and Experience:

Bachelor’s degree in science of health-related field preferred; relevant work experience can be submitted At least three years of relevant experience Prior experience in relevant position within a medical society preferred but not required Proven experience in an operations role or similar administrative skillset

Travel Requirements:

Must be able to travel up to 5% of the time ID Week Annual Staff Retreat End of Year Celebration/Gathering Travel to conferences or other professional development events

Physical Demands:

This position requires sitting and/or standing at a desk, prolonged sitting and bending and lifting during travel, as well as extensive sitting, standing, walking, and lifting during IDWeek. This role also requires access to stable internet, and ability to spend several hours on the computer.
