About The Position

Alice L. Walton School of Medicine is seeking a skilled, highly motivated, and organized individual to join the team as an Executive Assistant supporting the Vice President for Finance and Administration and the division. The ideal candidate will have demonstrated the ability to be creative in their approach to solving problems, can work independently, and be a high functioning member of the team. The primary duty of the Executive Assistant will be to provide high level of administrative, and project support to the Vice President. This position reports directly to the Vice President for Finance & Administration.

Major Responsibilities/Essential Functions Specific to The Position:

Provide operational support to the Vice President of Finance and Administration (and division) including schedule / management of calendars, arranging travel, coordinating communication correspondence. Participate and take notes in internal meetings and/or phone calls, tracking follow up items. Provide administrative assistance, such as writing and editing emails, and preparing communications and presentations on the division’s behalf. Anticipate the executive leadership team operational needs and respond adeptly to rapidly changing priorities. Track, monitor and follow-up on projects and action items that stem from the Vice President; work closely with members of the leadership to receive regular updates on outstanding items. Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination in support of finance and administration. Work closely with other faculty and staff of the School of Medicine to ensure consistency and efficiency with respect to the activities and all processes and procedures of the school. Provide support to the dean’s office as assigned or requested. Proactive approach to problem-solving with strong decision-making capability, especially with deadline pressures Executive and special projects assigned by VP of Finance & Administration managed and executed as assigned with precision, proficiency as well as a high level of customer service. Qualifications Required for your Success:

Bachelor's degree preferred, or equivalent combination of education and experience. Exceptional organizational skills and attention to detail Team-player mentality, with an enthusiastic willingness to jump in wherever needed. Experience in communicating in a professional manner (both written and verbal) Project management skills that reflect the ability to perform and prioritize multiple tasks simultaneously and seamlessly, and follow-through consistently. Proficient in Microsoft Office Suite and virtual meeting platforms. Ability to learn new software applications. Ability to function in a fast-paced environment. Ability to travel, as needed (approximately 10%)

About Us

Founded in 2021 by philanthropist Alice Walton, the School of Medicine will offer a medical degree-granting program that builds on conventional medicine with an inclusive, compassionate, and whole health approach. The School of Medicine embraces self-care to empower students to care for their patients and themselves and helps them rise to the health challenges of the 21st century with a focus on mental, physical, social, and emotional health. The School will have an attached clinic for training in these concepts..

Construction of the 154,000 square-foot building has begun with the goal of completing and welcoming the first class in Fall 2025, pending accreditation. AWSOM will be located east of Crystal Bridges Museum of American Art in Bentonville, Arkansas.
