Position Summary

This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Records Clerk position with ASOSU at Oregon State University (OSU).

The Records Clerk shall assist the ASOSU in its mission by performing key recordkeeping tasks and supporting the procedural operations of the three branches of student government. This includes the recording of minutes and maintenance of materials in the public interest. This position works according to the provisions of Title II § E of the ASOSU Statutes, establishing an independent executive branch position appointed by a committee comprising the, President, Vice President, Student Fee Committee Chair, and Judicial Council Chair, subject to the confirmation of the ASOSU Senate.

The responsibilities of the clerk are defined by the above referenced statute ( available in the special instructions to applicants’ section of the position posting below. The duties listed below primarily serve as a summary of the Clerk’s role. Position Duties Record minutes at the meetings of the Senate, Student Fee Committee, and Judicial Council. Make a good-faith effort to attend all regularly scheduled meetings of these bodies, and except in the event of an emergency, provide advance notice of absence due to infrequent conflicts of schedule or available hours. Typical meeting times each week will be communicated and are subject to change. Several meetings during Winter Term will be longer and may occur outside of these days/times. Track the status of legislation as it moves through the legislative process. Upon passage of legislation, gather the signatures of the President of the Senate and Senate President Pro Tempore, and deliver the legislation to the ASOSU President to sign or veto. Upon signature or veto, return the legislation to the ASOSU Archivist for archiving. Serve as the primary point of contact between the ASOSU and the OSU Office of the General Counsel (OGC) on issues arising that may require legal opinion and/or advice from the OGC. Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment Must meet the applicable minimal enrollment standardHigh School student: Regularly enrolled in a high school or participating in a home-schooling programUndergraduate and post-baccalaureate student: 6 credit hours per termUndergraduate international student: 12 credit hours per term*Graduate student officially admitted to Graduate School: 5 credit hours per termGraduate international student officially admitted to Graduate School: 9 credit hours per term*
*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the (OIS), and must be provided to the Student Employment Center. Additional Required Qualifications ASOSU Constitution eligibility requirements:Be currently admitted to the university.Be eligible for student employment with the university except for requirements regarding credit hours or eligibility for enrollment in the United States.Have been previously enrolled in at least one prior OSU or college-level credit, or be enrolled in first term at Oregon State University Must be available for training for the week of September 16th, 2024. Undergraduate students shall have earned at least six credits hours in their most recently completed term, be currently registered for at least six credit hours, not be on conduct probation, and have a minimum cumulative grade point average (GPA) of 2.00 Graduate students shall have earned at least five hours of credit in their most recently completed term, be currently registered for at least five hours, not be on conduct probation, and have a minimum cumulative grade point average (GPA) of 3.00.
