Job Title: Administrative Assistant II                                                                                                                                                                                FLSA: Non-Exempt                                            Salary: $16.97/hr (Minimum)                                                                                                        Salary Range:  14                                                                                                        Reports To: Major-Corrections or                        PCN: Various                     Support Division Supervisor  Department: Sheriff                                             Date: July 2015                                                                                                                                                                     JOB SUMMARYThe job duties of the Administrative Assistant II include but are not limited to performing a variety of responsible clerical and administrative duties to assist the Jail Administrator with day-to-day operations of the Geary County Detention Center; and to provide responsive, courteous and efficient service to County residents and the general public. Performs other duties as assigned.________________________                                                                                                                                                                         DUTIES AND RESPONSIBILITIESThe duties described below are indicative of what the Administrative Assistant II might be asked to perform. This job description is to incorporate any County Resolutions for the position of Administrative Assistant II. This position description is not designed to list all tasks and responsibilities of this position. Geary County reserves the right to revise or change job duties as the need may arise. This position description does not constitute a written or implied contract of employment. Schedule Management. Ensure appropriate staffing levels in the facility by preparing and maintaining monthly schedules, making suggestions for assignment of new employees and alerting management when schedule conflicts occur. Fiscal Duties. Maintains accounting of each inmate’s funds deposited and spent while incarcerated including the release of final fund balance when inmate leaves the facility. Tracks and accounts for financial charges owed the facility by an inmate to include inmate supplies and medical supplies. Prepares billing for outside law enforcement agencies using facility to house inmates. Processes inmate commissary orders through third party vendor. Administrative Duties. Provides clerical assistance to administrator in recruitment, hiring and retention of Corrections staff including: assisting with job fairs and applicant testing, preparing notices for testing and interviews, managing department-level onboarding of new employees including paperwork for background checks, setting up permissions and passwords, enrollment in training software, and issuing equipment. Maintains inventory and order office jail supplies. Answers telephone class, answering questions or transferring call to appropriate personnel. Prepare and distribute correspondence for staff. Enter records of inmate DNA into State Compute system in preparation for transport of DNA samples to lab. Maintain records and required reports while logging, compiling, copying, sorting, computing and proofreading in conformity with regulations and policy. Civil Process. Separates, distributes, enters, updates and disseminates Civil Process papers. Answers questions from the public regarding the Civil Process.  Reviews files, records, documents, fills out, maintains, and enters warrants, PFA’s/PFS’s and other information obtained to fulfill and respond to requests. QUALIFICATION REQUIREMENTSTo perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required at the time of hire or for the continuation of employment. MINIMUM QUALIFCATIONS·        High school diploma or GED.·        Two (2) years’ experience in clerical and data entry.·        NCIC certification within six (6) months of hire.
  • A valid Kansas driver’s license.
  • Must reside within a 30-mile radius of worksite within 90 days of employment.
 SKILLS AND ABILITIES
  • Ability to maintain a professional demeanor when dealing with the public.
  • Ability to take control of situations in a responsible manner.
  • Ability to comprehend, retain and apply County, State, and Federal policies and legislation, i.e. local ordinances, procedure manuals, SDS sheets, safety manuals, and warning labels.
 EQUIPMENT KNOWLEDGE REQUIRED
  • Ability to operate various types of equipment – standard office equipment, fax, scanner, computer and intermediate knowledge of Microsoft Office software.
·        Ability to operate NCIC software.
  • Other equipment could be required.
 LANGUAGE SKILLS 
  • Ability to maintain a positive work atmosphere by acting and communicating in a professional and friendly manner with customers, citizens, co-workers and management.
  • Ability to communicate in both written and verbal form.
  • Ability to develop, interpret and implement local policies and procedures; written instructions, general correspondence, Federal, State, and local regulations, SDS sheets, safety manuals, operating and repair manuals, etc.; and warning labels.

  • Ability to perform basic mathematical calculations.
