Job Summary:

Manages the vehicle fleet program for Adventist Health, including the management of the contractual relationship with the fleet management company. Acts as the main point of contact for fleet driver escalations using fleet management company's platform. Ensures that vehicles are being maintained properly and follows the recommended original equipment manufacturer (OEM) preventative maintenance schedule and that all repairs are being performed at vendor service providers. Identifies and transfers under-utilized vehicles to markets that can more effectively utilize the vehicles. Collaborates with AH local department leads to identify vehicles to be phased out of service. Manages the vehicle end-of-life process with vehicle sales through vendor's auction network. Manages supplier relationships with dealerships. Collaborates with AH local department leads to identify vehicle acquisition needs. Analyzes best vehicle options for procurement and presents best available pricing for vehicle additions/replacements to key stakeholders for acquisition approvals. Collaborates with AH risk management and fixed assets to ensure insurance and asset records are up to date for all vehicles. Manages the fuel purchase cards, driver PINs, and monitors fueling transactions and trends. Monitors and reports monthly cost savings for vehicle fleet management to key stakeholders. Monitors registration renewal dates and collaborate with drivers to ensure SMOG and emissions test are up to date prior to expiration date. Provides support to facilities and property management teams related to vendor services, and sourcing strategies. Supports sourcing strategies, supplier relationships and program management. Handles vendor onboarding. Collaborates with facilities leadership to review & monitor vendor performance. Ensures facilities compliance with sourcing and contracting policies and procedures. Collaborates with facilities and legal to ensure vendors are adhering to all contractual terms and conditions and review contract changes with the facilities teams as needed.

Job Requirements:

Education and Work Experience:

Bachelor's Degree in business administration or equivalent combination of education/related experience: Required: Required Master's Degree: Preferred Five years' experience in vehicle fleet management and sourcing support: Preferred One year leadership experience: Preferred

Licenses/Certifications:

Valid Driver's License (DL) and must be at least 21 yrs of age or older: Required

Essential Functions:

Manages the vehicle fleet program for Adventist Health, including the management of the contractual relationship with the fleet management company. Invites new vendors as requested by facilities and provides them with the supplier form package. Adds new vendors to system, updates vendor rate cards and Certificate of Insurance information. Obtain Certificates of Insurance (COI). Ensures COIs meet organizational requirements. Manages vehicle titles and driver Department of Transportation requirements in collaboration with risk management, finance, human resources, and vendors. Reviews and approves vehicle repair estimates and vendor maintenance fleet partners for any questions/issues with repair estimates/shops. Performs other job-related duties as assigned.
