Responsibilities:Enters and manages clinical data to prepare technical reports for Joint Commission (JC); prepares graphic displays of database records for presentation to committees and administrative staff; coordinates data collection; develops databases using MS Excel to track clinical data; maintains shared network files of quality management and medical credentialing staff; assists with creating and maintenance of patient safety event documents; creates and manages MS Word documents and PowerPoint presentations; formats and edits Joint Commission Newsletter and PowerPoints for the Joint Commission intranet portal link; establishes and maintains logs and files of tapes; performs data entry, amending and retrieving data; attends meetings, prepares agenda, minutes, and serves as recording secretary at various hospital meetings; greets visitors, answers telephone, and communicates messages; schedules appointments for director and assistant director; schedules and arranges meetings for Quality Management (QM) director and other department members as directed; maintains meeting and appointment calendar for QM director; assists QM director by handling routine administrative or office management duties; gathers, processes and maintains information required to prepare the department annual budget; uses e-mail, internet, databases and spreadsheets for presentation and data collection; prepares and routes personnel action forms; prepares requisitions for routine department purchases, routing appropriately and researching prices; maintains departmental personnel files; coordinates the completion of timesheets using the computerized timekeeping system; reports broken or malfunctioning equipment; maintains and updates all relevant filing for CMS audits, Joint Commission reports and correspondence; files and maintains records of correspondence and budgetary expenses; plans yearly meeting schedules; prepares memorandums, letters, announcements, job descriptions, department reports, policy and procedures and other documents using a PC and word processing software; prepares and reconciles travel documents by preparing necessary paperwork to include: registrations, making reservations, confirmations, and reimbursements; files and maintains records, correspondence, and other records; receives, screens, and reviews incoming mail; composes responses and memos as directed by the QM director; communicates and uses appropriate customer relations skills with physicians, patients, families, healthcare team and staff in person and via telephone; communicates with personnel department regarding necessary requirements when completing personnel forms; communicates with payroll department regarding information needed for payroll; maintains accurate and complete records; maintains office filing system; cooperates, helps others and improves the performance of Quality Management; completes all mandatory unit, educational and hospital requirements; utilizes cost effective practices in performing all aspects of the job; adheres to current Infection Control and Safety Standards; participates on committees as assigned; abides by and enforces all compliance requirements and policies and performs these responsibilities in an ethical manner consistent with the organizations values; adheres to hospital policies including confidentiality; requires minimal supervision to safely perform essential functions; utilizes proper body mechanics when moving equipment and/or supplies that are necessary to perform essential functions; regular and prompt attendance; ability to work schedule as defined and overtime as required; related duties as required.
Qualifications:Bachelors degree from an accredited institution as approved and accepted by the University of South Alabama.
Directly related experience may substitute on a year-for-year basis for the required education.
